Job Summary
We are seeking a highly organized and proactive Executive Assistant to support our CEO in a fast-paced environment. The ideal candidate will possess exceptional communication skills and be adept at managing multiple tasks simultaneously. This role is crucial for ensuring the smooth operation of the executive office and will involve a variety of administrative tasks that require attention to detail and discretion . CEO owns two separate companies!
Key Responsibilities
Real Estate Company:
- Assist with marketing initiatives, including research, planning, and execution of lead-generation strategies.
- Develop and refine business processes to enhance client acquisition and retention.
- Research and recommend new tools, platforms, and systems to improve efficiency.
- Organize and manage schedules, transactions, and client follow-ups to maximize the CEO’s productivity.
Moving Company:
- Develop operational systems for logistics, scheduling, and client management to transition the CEO out of daily tasks.
- Implement accounting and tracking structures for improved financial oversight.
- Create workflows and procedures to improve productivity and ensure seamless execution of services.
- Collaborate with the CEO to execute scaling strategies and drive business growth.
Both Companies:
- Manage the CEO’s Google Calendar, scheduling appointments and ensuring efficient time management.
- Handle data entry and document proofing for accuracy and clarity.
- Assist with for financial tracking and reporting.
- Provide comprehensive executive administrative support, including preparing reports, presentations, and key business materials.
- Answer and manage phone calls with professionalism and discretion.
- Plan and coordinate events, meetings, and travel arrangements to support business operations.
- Support various administrative and operational functions to enhance overall efficiency.
