About the Role:
We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support to our CEO. This role requires a proactive individual with excellent time management skills and a strong ability to multitask. Applying your high level of professionalism, discretion, and availability, you will handle a wide range of administrative and personal tasks to streamline the CEO's day-to-day activities and ensure they are fully prepared for professional and personal commitments.
About Company:
We are a collection of four dental offices that is owned by a single doctor. We focus on creating a high-end experience for our patients offering care that is focused on overall health and wellness. Our goal is to create a small office feel for our patients while supporting our doctors and team members.
Responsibilities:
- Executive Support:
- Manage and prioritize a complex calendar, including scheduling meetings and appointments.
- Act as a gatekeeper for the CEO, screening and prioritizing the CEO’s inbox, emails, phone calls, and messages, ensuring that critical matters are addressed promptly
- Prepare presentations, reports, and other documents as needed.
- Assist with special projects and initiatives, as needed, including research, data analysis, and report and deck preparation
- Conduct research on a variety of topics, including industry trends and competitive analysis.
- Arrange and coordinate travel plans, including booking flights, accommodations, and transportation
- Provide occasional support to senior leadership team, as workload allows
- Additional responsibilities, as assigned
- Administrative Tasks:
- Process expense reports and invoices.
- Assist with data entry and verification of KPI documents.
- Organize and maintain database of employee records
- Project Management:
- Oversee and manage various projects as needed by the CEO.
- Coordinate room bookings, speaker invitations, food ordering and logistical arrangements for the events.
- Handle gift procurement for client appreciation.
- Document preparation.
- Manage the hiring and onboarding of virtual assistants as needed for indivual projects.
Qualifications:
- Proven experience as an Executive Assistant or similar role
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Handle sensitive information and matters with the utmost discretion and maintain confidentiality at all times
- A positive attitude and willingness to learn
- Experience with project management and virtual assistant management is a plus
- Strong problem-solving skills when given little direction
- Possess a “no job too small” mindset towards work
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
