Required Experience and Qualifications
- Minimum education: Associates degree or Medical Assistant Certification or 2 years in healthcare office setting
- Extensive experience in healthcare medical office operations; or
- Any equivalent combination of experience and training which provides the knowledge, skills and abilities necessary to perform the work.
- Must work with high degree of accuracy, courtesy, timeliness, logic, and structure
- Proficient knowledge of Microsoft Excel, Word, and Outlook with a 'quick-learner' ability and mentality to 'figure it out and solve it', while working mostly autonomously.
- Having a collaborative mindset to work effectively with other team members and departments throughout the organization
- Ability to handle simultaneous tasks and meet deadlines
Common Duties assigned to position
- Serves as the primary patient coordinator in the office reception area of a medical practice. Includes welcoming and greeting the patient, maintaining a positive and friendly atmosphere with a warm and conversational personality.
- Requires attention to detail, ability to work quickly and with accuracy in a fast paced environment, often with multiple tasks at hand.
- Performs confidential administrative duties for a medical practice, including assuming direction or oversight in distributing directives and monitoring programmatic activities;
- Schedules appointments for Medical Providers; and maintains appointment schedule;
- Organizes meetings and conferences;
- Prepares correspondences, reports, lists and other documents as instructed and requested by designated office personnel;
- Interprets and applies office rules, policies and regulations in accordance with prescribed procedures and guidelines;
- Transcribes or prepares letters, minutes, reports, statements, grant applications, specifications, contracts, memoranda, notices, resolutions, budgets, financial and statistical tables, requisitions and other related materials, including confidential correspondences and reports and performs shorthand as required;
- Composes correspondence for designated office personnel as requested;
- Copies, packages and distributes a variety of written materials as requested by other designated office personnel;
- Answers telephone calls;
- Gathers, assembles, updates, distributes and/or files a variety of information, forms, records and data as requested using traditional filing systems or databases as necessary;
- Screens visitors, telephone calls, faxes, mail and messages directed to practice;
- Listens to and directs comments and complaints from the public relating to operations and takes appropriate action to resolve and refer such complaints;
- Requisitions supplies and materials as requested or assigned;
- Opens and distributes mail ;
- Provides needed information and demonstrations concerning how to perform certain work tasks to new employees in the same or similar class of positions, assists with administrative duties related to new positions in the onboarding period;
- Keeps immediate supervisor and designated others fully and accurately informed concerning current operational needs and work progress, including present and potential work problems and suggestions for new or improved ways of addressing such problems;
- Attends meetings, conferences, workshops and training sessions and reviews publications and audio-visual materials to become and remain current on the principles, practices and new developments in assigned work areas;
- May be required to take and transcribe meeting notes, videos, training materials, etc.
- Communicates and coordinates regularly with appropriate others to maximize the effectiveness and efficiency of operations and activities;
- Performs other directly related duties consistent with the role and function of the classification;
- Other duties as assigned, based on skills and operational needs of the practice may be assigned at any time after hire.
Position Details:
- Hourly, regular schedule, Mon-Fri, 8:30am-5:00pm, up to 40 hours per week, may be utilized in either our West Des Moines or Ankeny office locations, schedule determined by our operational needs.
- In general, the position will primarily cover one specific location on a regular basis but this is not guaranteed as our needs frequently change and we need someone who is flexible, adaptable, and easily shifts between locations.
- Reports to Operations Coordinator.
- This is an urgent need and we are looking for someone to begin as soon as possible.
- Salary negotiable- will consider hourly rate or salaried rate based on job functions and overall determined responsibilities.
