Job Summary: The Surgical Center Scheduler is responsible for coordinating and scheduling surgical procedures across our five operating rooms (ORs). This role ensures optimal utilization of surgical suites by efficiently managing the schedules of multiple surgeons from various specialties. The scheduler will also handle insurance verifications/eligibility, pre-authorizations, and maintain clear communication with medical staff and patients to facilitate seamless surgical operations.
Key Responsibilities:
- Surgical Scheduling: Coordinate and schedule surgeries for specialties including, but not limited to: Interventional Pain Management Procedures; Orthopedic & Spine Surgery; Oral & Maxillofacial Surgery; Ear, Nose, and Throat (ENT) Surgery; Plastic & Reconstructive Surgery; Urologic Procedures; Interventional Radiology Procedures; Pediatric Surgery; Podiatric Procedures.
- Insurance Coordination: Verify patient insurance coverage, determine eligibility, and obtain necessary pre-authorizations for surgical procedures.
- Patient Communication: Inform patients about their surgery schedules, pre-operative instructions, and any necessary preparations.
- Documentation: Ensure all surgical documentation is accurate and complete, including patient medical histories, consent forms, and insurance information.
- Collaboration: Work closely with surgeons, anesthesiologists, nursing staff, and administrative personnel to coordinate schedules and ensure all necessary equipment and personnel are available for each procedure.
- Compliance: Maintain knowledge of and ensure compliance with all relevant protocols, policies, and regulatory requirements related to surgical scheduling and patient confidentiality.
- Problem-Solving: Address and resolve any scheduling conflicts, last-minute changes, or cancellations in a timely and efficient manner.
Qualifications:
- Education: Associate's degree or higher in healthcare administration or a related field preferred.
- Experience: REQUIRED minimum of 1-2 years of experience in surgical scheduling or a related healthcare administrative role.
- Knowledge: Strong understanding of medical terminology, surgical procedures/equipment, and insurance processes.
- Skills: Excellent organizational abilities, attention to detail, and proficiency in computer systems and scheduling software.
- Communication: Strong interpersonal and communication skills, with the ability to interact effectively with medical professionals, patients, and insurance representatives.
- Confidentiality: Demonstrated ability to handle sensitive information with discretion and uphold patient confidentiality at all times.
Working Conditions: This position operates in a clinical environment. The role requires prolonged periods of sitting, data entry, and communication via telephone and email.
