Job Summary

As Operations Advisor you will utilize research analysis and data modeling to improve the operational efficiency of the organization. Your responsibilities are to interpret data and review current practices to forecast and resolve operational issues, and you may also manage the implementation of new policies. As Operations Advisor, you will work to achieve efficiency and standardization through policies and procedures governing overall operations and guidelines to be cascaded down to operational units.

Primary Responsibilities:

  • Increase operational and business capabilities through optimum use of technology, standardization, and innovations.

  • Working with business development to ensure systems tied to agent conversion ratios.

  • Accounting and financial functions of the business

  • Purchases, invoices, AP, receipt filing and uploading to concur

  • Working with Vendors and getting invoices paid through Coupa

  • Maintain innovative work systems and management of agency client workflow.

  • Conduct daily technical audits to understand when internal resources need to be optimized versus pared down.

  • Management of the internal CRM including implementation and flow of strategic business strategy campaigns geared towards prospective hires and agent development.

  • Assist in maintaining reports necessary for Operations’ review specific to hiring conversions.

  • Identify and suggest new initiatives or enhancements to improve business processes.

  • Accountable for intentional planning and allocation of business resources.

  • Develop operational policies and procedures to improve quality, profitability, and productivity.

  • Facilitator of agent training podcasts, reels, and guest speakers for agent personal branding opportunities.

  • Manage sales conferences, sales meetings, and large agency events.

  • Agent interfacing for purposes of facilitating office visits.

  • Management of vendor relationships essential for office operations.

  • Work independently on projects, ad hoc and departmental initiatives.

Primary Skills & Requirements:

  • Strong project management and communication skills.

  • Ability to articulate information to both internal and external clients in a manner that is clearly and easily understood.

  • Knowledge of business operations and strategic planning.

  • Experience in project management and implementing best industry practices.

  • Ability to identify future business opportunities.

  • Ability to advise on labor, vendor, and supplier procurement agreements.

  • Competence with integrated electronic strategic management systems.

  • Strong interpersonal skills toward efficiently communicating new business processes and procedures
