Job Summary:

The Administrative Specialist is a self-motivated individual with excellent organizational, communication, and analytical skills, who is highly dedicated to personal performance and results-driven. Responsibilities will include performing general clerical tasks, communicating and greeting customers, responding to phone calls and emails, overseeing day-to-day front office operations. Ultimately, an Administrative Specialist, who is goal-oriented and has a strong working knowledge of administrative procedures being performed.

Duties/Responsibilities:

  • Answer and route incoming phone calls, chat, text or email;
  • Assist as is appropriate to customer inquiries;
  • Create new hire employee paperwork packets;
  • Assist in the onboarding and training of new employees;
  • Oversee administrative staff uniform ordering and employee distribution;
  • Provide administrative support to management and other team members;
  • Obtain and enter new leads and rotate assignments to the Project Consultants based on trade/service; including leads received through web submission.
  • Receive payments on accounts, recording in CRM, and routing appropriate documentation with payment to the accounting department;
  • Send updated and final invoices to customers, insurances, and others as requested/required.
  • Manage employee birthday lists and cards/gift program;
  • Create, close, and maintain project file folders, organizing documents, upload documentation into CRM;
  • Verify and maintain current subcontractor Certificate of Insurance (COI) audit book;
  • Register customer Owens Corning (OC) warranties.
  • Maintain a current list of referral companies, current subcontractors, employee contact information, and phone extensions, making available to all staff;
  • Maintain and oversee building maintenance requests for Lee’s Summit Office, including but not limited to plumbing, electrical, pest control, computer repair, cleaning, dumpster, and other maintenance;
  • Complete application and payment of business license(s), including W-9 submission;
  • Develop, maintain, and track projects, business licenses or permits, through the use of MS Excel spreadsheets, Google sheets, and/or databases;
  • Process incoming and outgoing mail;
  • Order, maintain, supply and organize office supplies and area;
  • Ensure fire extinguishers are inspected annually;
  • Customer Experience Specialist backup; and
  • Perform other duties as assigned.

  • Proficient with data entry, electronic communication, Microsoft Office, Google Drive and/or other related logistics software.

Education and Experience:

  • High school diploma or equivalent.
  • 2-3 years of administrative experience.

Physical Requirements:

  • Ability to lift up to 20 lbs or more.
  • Ability to work a flexible schedule.
  • Sit for long periods of time.
  • Extended work with computers.
  • Use of fingers, hands, and arms.
  • Repeat the same movements.
  • Ability to listen, see and speak within normal ranges.

Job Types: Full-time, Part-time

Pay: $15.00 - $16.00 per hour

Expected hours: 25 – 40 per week

  • 8 hour shift
  • Monday to Friday

  • Lees Summit, MO 64086: Relocate before starting work (Preferred)
