Summary:
As a Fire Solutions Project Coordinator in the Fire Protection Industry, you will assist project managers and construction supervisors. This role involves tracking and monitoring the progress of projects, helping ensure tasks and project related goals are met in a timely manner, assisting with project and technician schedules, maintain electronic files and reporting, visiting project sites, and other duties as assigned. Your role will be pivotal in ensuring smooth operations and interactions with internal and external clients, and meeting project needs.
Responsibilities:
1. Project Support:
- Assist project managers, construction supervisors, field technicians, and sales representatives in the delivery of fire alarm and security projects in commercial, educational, and industrial facilities.
- Manage scope of work, schedule, and cost with electrical contractors, general contractors, building owners, and end users for assigned projects.
- Monitor progress of ongoing fire alarm installation, inspection, and maintenance projects. Update executives on project statuses and any potential issues.
- Track and monitor projects.
2. Coordination:
- Work closely with project managers, technicians, and other staff to ensure that all project components are completed on time and within budget.
- Assist with weekly operations and monthly work in progress meetings.
- Project closeout coordination and finishing the project in the system in a timely manner.
3. Communication:
- Serve as a point of contact between clients, contractors, and internal teams.
- Facilitate effective communication to resolve issues and provide updates on project progress.
- Provide communication between clients and the company to ensure client needs are met and address any issues that arise.
4. Scheduling:
- Support the creation and management of project schedules, including tracking deadlines and coordinating with various teams to ensure timely completion of tasks.
- Assist in the scheduling of field technicians, vendors, and subcontractors
5. Reporting and Analysis:
- Maintain electronic project folder database with required documents as needed.
- Generate and execute weekly and monthly project reporting.
- Maintain change order management, tracking, and upload in system.
6. Budget Tracking:
- Purchase order management; including creation, communication, expediting, and tracking of purchase labor and materials.
- Manage the release, tracking and expediting of materials for delivery.
7. Miscellaneous Tasks:
- Travel to project sites as needed.
- Perform other duties as assigned.

Qualifications:
- High school diploma or equivalent; additional education or relevant certifications are a plus.
- 2 years' experience in high volume customer service, and construction and fire alarm industry preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to handle multiple tasks and prioritize effectively.
- Professional demeanor and excellent interpersonal skills.
- Familiarity with basic office equipment and technology.
- Reliable and adaptable, with the ability to work independently and as part of a team.
