Position Summary:
The Archival Document Digitization Specialist will be responsible for handling, preparing, and digitizing historical and sensitive documents. This role involves operating equipment to produce high-quality digital images, ensuring proper organization and care of documents before and after scanning, and maintaining accurate records of digitized materials. Key Responsibilities:
Document Preparation:
- Carefully handle archival documents, ensuring their preservation and protection throughout the digitization process.
- Review and organize documents into batches for scanning, removing staples, clips, and other bindings if necessary.
- Identify and flag any fragile or damaged documents requiring special handling.
Digitization:
- Operate and maintain scanning equipment, ensuring optimal performance and image quality.
- Perform quality checks on scanned images to ensure clarity, completeness, and proper orientation.
- Input metadata and index information as required for each document or batch.
Post-Scanning Activities:
- Reassemble and return documents to their original order and storage location.
- Ensure that all documents are properly labeled and securely stored after scanning.
Documentation and Reporting:
- Maintain detailed records of digitization activities, including scanned file logs and progress reports.
- Promptly report equipment malfunctions or document preservation concerns to the supervisor.
Compliance and Preservation:
- Follow established protocols for handling sensitive or confidential documents.
- Adhere to archival preservation best practices and organizational policies throughout the digitization process.
- Attention to cleanliness, organization and proper decorum is required.
Qualifications:
Education:
- High school diploma or equivalent required; coursework in genealogy, family history, library science, or archival studies is a plus.
Experience:
- Experience handling historical or archival materials preferred.
- Familiarity with scanning equipment and digitization processes is an advantage.
Skills and Competencies:
- Strong attention to detail and organizational skills.
- Ability to handle delicate or fragile documents with care.
- Proficiency with basic computer software and digital file management, including Microsoft Office products.
- Good communication and problem-solving skills.
- Ability to work independently and meet deadlines.
Physical Requirements:
- Ability to lift and carry boxes of documents (up to 25 lbs).
- Manual dexterity to handle small tools and operate scanning equipment.
- Ability to sit or stand for extended periods while performing digitization tasks.
Work Environment:
This role primarily takes place in an office or archive setting. Occasional exposure to dust or aged materials may occur.
