Intelligent Office is a nationally recognized company with locally owned and operated offices, and we’re excited to expand our team! We’re seeking a professional and friendly Client Assistant/Receptionist in our Palm Beach Gardens, FL location.
The ideal candidate will possess excellent organizational skills and a strong commitment to providing exceptional customer service. In this role, you will work closely with our team to manage an advanced phone system and provide administrative support to both our clients and their customers. This role involves communicating via phone and email to assist our clients and their customers with inquiries, providing helpful information, answering/transferring calls, taking messages, scheduling appointments, working with clients CRM systems, and managing various administrative tasks while maintaining a professional, friendly, and empathetic demeanor.
Key Responsibilities:
- Provide outstanding high-volume customer service via phone and email
- Utilize phone etiquette to communicate professionally with clients and colleagues.
- Manage multiple custom software platforms simultaneously
- Manage calendars effectively, scheduling appointments and meetings as needed.
- Assist clients with administrative tasks such as copying, faxing, and mail services
- Demonstrate strong organizational and time management skills to prioritize and handle multiple tasks simultaneously. Attention to detail is essential.
- Maintain organized records and files, ensuring all documentation is up-to-date and accessible.
- Strong computer literacy including proficiency in Microsoft Office and Adobe PDF
Additional Qualifications:
- Bilingual (Spanish) is a plus
- Customer service experience preferred (1 year)
- QuickBooks knowledge is a plus
- Sales background is a plus
