POSITION OBJECTIVE: Provide administrative and/or clerical support. Duties include providing support to managers and employees.
QUALIFICATIONS:
- High school diploma or GED preferred.
- Computer skills including Word, Excel, Publishing, Access and PowerPoint.
- High level of interpersonal skills to handle sensitive and confidential situations with discretion.
- Ability to work as part of a team
- Ability to work under pressure and meet deadlines.
- Strong verbal and written communication skills required.
- Good administrative and organizational skills a must.
- Ensure consistent, dependable attendance and demonstrate a willingness to accommodate non-standard work hours as necessary.
- Capable of effectively managing job-related stress and fostering productive workplace interactions.
- Collect all production/operation-related paperwork for data entry daily. Make all corrections as needed to complete the task at hand.
- Key in all line-by-line production data/ticket discrepancies.
- Prepare and distribute discrepancy reports to appropriate personnel for any production data/ticket discrepancies.
- Post all production and reclaim data accurately into the system.
- Close out, organize and file all completed charts by charting number.
- Perform additional tasks as assigned by the plant manager that align with typical data entry and office administration duties.
- Team participation in GMP/SQF program initiatives.
- Ensure up-to-date records and communicate changes to policies and procedures that require periodic review.
- Manage ordering and inventory control of plant office supplies to ensure availability and cost efficiency.
- Ability to work overtime as required to meet deadlines or production needs.
- Prepare Purchase Requisitions (PRs) for approval, make copies, and route originals to the purchasing department.
- Process PRs and related documents in the workflow system; file and track all PRs/POs.
- Prepare and maintain improvement project database.
- Process invoices efficiently (target: minimum of 10 per hour) with strong focus on accuracy.
- Match invoices with purchase orders (POs) and ensure correct documentation prior to processing.
- Perform non-routine administrative duties such as maintaining the improvement project database, reviewing non-PO invoice requests, and overseeing the plant office filing system.
- Office setting within a manufacturing environment with exposure to machinery, noise, and varying temperatures.
