This person will serve as the primary point of contact for patients and their families. Key Responsibilities:
- Serve as the single point of contact for patients and families, fielding calls and handling in-person scheduling requests.
- Monitor and process online appointment requests, follow-ups, and second opinions.
- Track and manage internal and external referrals.
- Coordinate complex scheduling with multiple providers across the Philadelphia campus and community care locations.
- Ensure all necessary clinical documentation and records are obtained before the initial visit.
- Accurately enter and verify patient demographic and insurance information in EPIC.
- Provide cross-coverage for other access coordinators as needed.
Essential Functions:
- Respond to referrals from physicians and families via phone, email, and in person.
- Conduct intake interviews to gather essential demographic and insurance details.
- Collaborate with internal teams to schedule appointments and coordinate care.
- Inform families and referring providers of next steps, required documentation, and visit expectations.
- Maintain scheduling accuracy in compliance with department guidelines.
- Deliver exceptional customer service to patients, families, and healthcare teams.
- Perform additional tasks as directed by the Supervisor or Manager.
Qualifications:
Education:
- Required: High School Diploma or GED
- Preferred: Bachelor’s Degree
Experience:
- Required:
- At least 5 years working in a healthcare environment
- Minimum 3 years of experience in scheduling, preferably complex scheduling
- Preferred:
- 5 years related experience in a healthcare setting
- Experience in database maintenance
Skills and Competencies:
