The Infrastructure and Environment Sector (INE) Front Office provides technical and operational support on a variety of areas, such as: monitoring of the department's work program, pipeline, portfolio, operational and knowledge indicators; managing the preparation and execution of the budget; providing statistical reporting and presentations on different operational and corporate issues; preparing and administrating consulting contracts as well as managing human resources processes, technical cooperation issues, among other activities.
About This Position
We are looking for a detail-oriented and organized professional to join the Front Office team within the Infrastructure and Energy Sector (INE). This role will provide essential administrative support to ensure the smooth operation of the team, contributing to the sector’s efficiency and effectiveness. You will work with the Front Office team which is part of the Infrastructure and Energy Sector (INE).

About This Position
We are looking for a detail-oriented and organized professional to join the Front Office team within the Infrastructure and Energy Sector (INE). This role will provide essential administrative support to ensure the smooth operation of the team, contributing to the sector’s efficiency and effectiveness. You will work with the Front Office team which is part of the Infrastructure and Energy Sector (INE).
What you’ll do
Payments
- Process and administer payments from INE Divisions and Front Office, (SAP/Convergence/BPP portal, etc.) such as Non-PO invoices, Letters of Agreement, and Letters of contribution.
- Ensure payments are paid and follow up with FIN if any problem arises.
- Act as SAP allocator back-up and perform accounts payable functions.
- Aide in the documentation and coordination of consultant and consulting firms hires for the Front Office.
- Submit CW contracts in SNOW as initiator for INE Front Office, and CW amendments for Sector’s divisions.
- Track the process of preparation of contracts, amendments, payments and respond to inquiries from the divisions.
- Maintain INE tracking list of payments, contracts and amendments on a weekly basis.
- Coordinate logistics for meetings & workshops such as invitations, announcements, conference room, catering, video conferences, equipment, etc.
- Support INE Sector in the vendor creation and registration in BPP for event guests.
- Guide on how to solve inquiries about policies, procedures, and systems according to Bank's policies and procedures.
- Act as back-up for shopping carts in Fiori according to internal guidelines, and other duties as needed.
- Education: Bachelor’s degree or equivalent.
- Experience: two (2) years of relevant professional experience or the equivalent combination of education and experience. At least 2 years of relevant experience and Knowledge of Microsoft office suite, Acrobat. Knowledge of SAP, Service Now, EZ-Share, Convergence, and Bank applications is highly desirable.
- Languages: Fluency in English and Spanish. Requires excellent written and oral communication skills in English and Spanish.
- Citizenship: You are a citizen of one of our 48-member countries. We may offer assistance with relocation and visa applications for you and your eligible dependent.
- Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.
- Type of contract: International Consultant Full-Time.
- Length of contract: 12 months.
