The Interactive Advertising Bureau (IAB) is seeking an Operations Coordinator to support the seamless operation of our Centers of Excellence (CoEs). In this role, you will collaborate with cross-functional teams including Operations, Events & Programming, Marketing, and Program Management while gaining hands-on experience in the rapidly evolving digital advertising ecosystem. Key ResponsibilitiesAsset Collection & Management
- Speaker & Sponsor Assets: Collect, organize, and track headshots, bios, and logos for use across the IAB website, webinars, social media, and events.
- Member Material Coordination: Ensure timely and accurate updates of member assets, facilitating smooth communication and visibility for IAB initiatives.
- Database Maintenance: Keep Salesforce records current and accurate, eliminating duplicates and ensuring data integrity.
- Reporting & Analytics: Support the marketing and reporting teams by pulling segmentation lists, updating contact records, and analyzing engagement metrics.
- Scheduling & Logistics: Manage and coordinate all prep calls, webinars, meetings, and in-person events for CoE-related activities (e.g., board, committee, and task force sessions).
- Onsite & Virtual Event Support: Serve as a moderator in chat rooms, distribute invitations, assist in creating presentation materials, and handle registration duties.
- Metrics & Insights: Generate regular reports and dashboards including prospect lists, attendance records, member activity logs, and engagement stats to inform strategic decisions.
- Centralized Tracking: Maintain a repository of CoE outputs such as publications, standards, articles, and speaking engagements for easy access and historical reference.
- Content Repurposing: Create and update templates for presentations, documents, and social posts, ensuring branding consistency and high-quality design.
- Proofreading & Quality Assurance: Compare drafts to final documents, verifying accuracy, formatting, and message alignment before publication.
- Project Timelines: Use tools like Smartsheet to create simple project plans, set deadlines, and track progress.
- Workflow Optimization: Collaborate with teams to refine processes, ensure timely deliverables, and maintain high-quality operational standards.
Who You Are
- A Rising Star: You have at least 2 years of professional experience in the digital advertising or related fields.
- Organized & Detail-Oriented: You re adept at juggling multiple projects, meeting tight deadlines, and delivering polished, error-free work.
- Tech-Savvy: Proficient in Salesforce, Microsoft Office Suite, Google Workspace, and advanced Excel functions (pivot tables, formulas, filtering).
- Clear Communicator: You excel in both written and verbal communication, able to interact with professionals at all levels.
- Collaborative Team Player: You re positive, proactive, and solutions-focused, ready to jump in and help whenever needed.
- Process-Driven: You thrive on refining workflows, enhancing efficiency, and implementing structured approaches to problem-solving.

- Familiarity with Smartsheet or other project management tools, digital editing software, and PowerPoint design skills are highly desirable.
