What are the responsibilities and job description for the Administrative Assistant - Central Offices (Superintendent, Operations, and Finance) position at Interboro School District?
QUALIFICATIONS :
Proficient in Microsoft Office Suite (word, excel, power point, publisher).
Working knowledge of office procedures and the operation of office equipment and machines
REPORTS TO :
Superintendent, Director of Operations, and Director of Finance
JOB GOAL :
To assure the smooth and efficient operation of the office so that the office's maximum positive impact on the education of children can be realized.
ESSENTIAL FUNCTIONS :
All secretarial duties and correspondence
Screening of all telephone calls and visitors
Receive and separate mail for central offices
Maintain Daily Check Log for incoming non-tax payment checks
Scheduling and tracking Facilities service calls for all buildings
Maintain preventative maintenance and equipment-service agreements.
Coordinate and manage all Facility Usage Calendars including youth clubs and outside organizations.
Ensure all external users of facilities have the proper paperwork submitted updated but not limited to insurance, hold harmless agreement, fees, etc.
Coordinate and manage roving custodial schedules and substitute custodial staff.
Manage ID Badge system for access to all buildings.
Coordinate and support the payroll process.
Prepare all Purchase Orders
Coordinate and place all orders for supplies as needed
Assist with tracking and maintaining home schooled student records
Assist with coordination of reports regarding home schooling
Assist, prepare and maintain district-level discipline and truancy meetings for the Superintendent.
Process mileage reports
Support the preparation of motions, agenda items, and other documents for GBO, and Board meeting along with any other committee meetings.
Other duties as assigned by the Central Offices of Superintendent, Operations, and Finance within the scope of secretarial duties
TERMS OF EMPLOYMENT :
Twelve-month year. Salary and work year to be established by Board.
