Administrative Assistant to the Director of Facilities

QUALIFICATIONS:

  • All secretarial duties and correspondence for the Facilities and Transportation Department
  • Screening of all telephone calls
  • Assist with preparing and filing state reports
  • Service calls for all buildings
  • Keep service agreements up-to-date for each building for all equipment including preventative maintenance agreements
  • When required submit list of all new equipment and transfers of equipment from one building to the othe
  • Ensure all external users of facilities have the proper paperwork submitted and updated but not limited to insurance hold harmless agreement, fees, etc.
  • Prepare all Purchase Orders
  • Prepare invoices for payment
  • Place telephone orders for supplies as needed
  • Vandalism Report for each building on occurrence
  • Enter the budget including all applicable line items
  • Prepare all motions, agenda items, and other documents for GBO, and Board meeting along with any other committee meetings.
