Job Summary:
We are currently seeking a detail-oriented and experienced HR Administrator to oversee a temporary I-9 audit and ensure compliance with federal and state regulations. The ideal candidate will manage the accurate filing and updating of all employment eligibility documentation while also leading system maintenance projects related to HR processes. This role demands strong organizational skills, an in-depth understanding of employment laws, and the ability to collaborate effectively across departments.
Key Responsibilities:
I-9 Compliance & Audit:
- Conduct comprehensive audits of Form I-9s to ensure compliance with federal and state employment eligibility requirements.
- Identify and resolve any errors or missing documentation in employee records.
- Maintain accurate and secure records in line with retention policies.
- Stay current on changes in immigration and employment verification laws to ensure ongoing compliance.
- Provide training for HR team members and managers on proper I-9 completion and compliance.
- Liaise with legal counsel and government agencies in the event of inspections or compliance inquiries.
HR System Maintenance & Process Improvement:
- Manage and maintain HRIS (Human Resource Information System) and other HR-related software.
- Support system upgrades, data clean-up, and process automation to enhance HR efficiency.
- Ensure the accuracy and integrity of employee data within HR systems.
- Collaborate with IT and HR teams to troubleshoot technical issues and implement best practices.
- Generate reports and analytics for HR compliance and informed decision-making.
- Assist in documenting and training employees on system updates and new functionalities.
Qualifications & Skills:
- 2 years of HR administration experience with a focus on I-9 compliance and audits.
- Strong knowledge of federal and state employment laws, especially I-9 and E-Verify regulations.
- Experience with HRIS systems.
- Excellent attention to detail and strong organizational skills.
- Ability to handle confidential information with integrity.
- Strong problem-solving skills and the ability to work independently.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
