Job Description
Portfolio Community Association Manager
Summary/Objective: Provides management, direction, and leadership to ensure the properties are maintained and operated in accordance with IPS objectives. Property Managers are certified and licensed by the State of Florida for Community Association Management (CAM).
Key Responsibilities:
- Serve as liaison between clients, IPS, and support staff.
- Work with the Associations Boards of Directors and operate the communities.
- Prepare annual budgets and analyze monthly financial statements.
- Maintain property files and records.
- Supervise on-site team members. (If Applicable)
- Establish and maintain collaborative relationships.
- Coordinate the move-in process for new residents. (If Applicable)
- Respond to phone calls and correspondence promptly.
- Run Board of Directors meetings when necessary.
- Prepare management reports, presentations, and budgets.
- Monitor contracts and ensure vendor compliance.
- Maintain accurate records and update association communications.

Supervisory Responsibility: Supervise and coordinate vendors and part-time/on-call support staff across different communities.
Work Environment: Professional office setting with standard office equipment with travel to various properties as needed.
Physical Demands: Regularly required to talk, hear, stand, walk, use hands, and reach with arms. Daily property walks include stair climbing.
Position Type/Expected Hours of Work: Full-time, Monday through Friday, with flexible hours as determined by the needs of the various associations. Occasional evenings or weekends may be required for Board meetings or emergencies.
Travel: Frequent local travel between properties for inspections, meetings, and community visits.
Required Education and Experience:
- Three years of experience in community property management or similar.
- BA/BS degree preferred.
- Proficient in Microsoft Office.
- Florida CAM license.
- Valid FL Driver’s license.
- Flexibility in work hours, including nights and weekends.
- Ability to manage emergency situations promptly.
- Bi-lingual in English and Spanish is a plus.
