Job Summary:
This is a full time year round position that is located the the beautiful city of Williams Arizona! The CMMS Coordinator is responsible for the effective implementation and management of Computerized Maintenance Management System (INFOR). While oversight of the Tool Room Attendant and Maintenance Dispatchers.

Responsibilities
- Fully understand and support Xanterra Mission Statement and Core Values.
- Responsible for accurately inputting extensive data into the INFOR CMMS system – accuracy is critical in this area.
- Manages the CMMS database, equipment location, generation of work orders, management of equipment name plate data, and parts inventory system.
- Reviews and confirms timely and accurate data input is made into INFO/EAM by Dispatchers and Tool Room Attendant, makes recommendations for correcting accuracy errors.
- Provide on-going training when software updates are released for INFO/EAM.
- Creates and maintains INFO/EAM training and operation manuals for Dispatch and Tool Room Attendant.
- Provides cross training of Dispatch and Tool Room Attendant positions for sick and vacation coverage.
- Coordinator will manage work orders, track job status and repair costs.
- Generate related management reports to include, work backlog, equipment repair history and cost, trouble calls, and work orders.
- Assists with administrative duties, which include filing, record keeping, invoice processing, memo writing and distribution.
- Position will train the engineering employees in a CMMS method consistent with pre-established guidelines.
- Work closely with Department Director to collect data for all new assets, structures, and infrastructure located at Grand Canyon Railway Hotel facilities operation.
- Ensure that all information is verified and entered into CMMS upon completion and prior to generating written work requests.
- Leads the annual stockroom audit; preparation of audit reports, participation in audit and generation of the final audit report.
- Fuel card management, assures that the fuel card program and procedures are followed and all fueling authorization records are current for the entire department staff and fleet.
- Assists Department Director in the tracking and reporting of all departmental expense accounts, inventories, work orders, in accordance with the annual maintenance plan.
- Assists Department Director with the development and administration of the annual financial plan.
- Provides accurate information to client, guests and employees.
- Responsible for collection, coding and submitting invoices in a timely manner.
- Controls of costs through proper ordering procedures.
- Meets budgetary goals set for equipment and supplies.
- Maintains accurate budgetary information.
- Performs all job duties toward the goal of maximizing guest service.
- Other duties as assigned.
Qualifications
Minimum Qualifications:
- Previous clerical, admin or secretarial experience.
- Experience in Microsoft programs, Word, Excel, and database software programs
Preferred Qualifications:
- A valid Arizona Driver’s License, and be able to comply with the Xanterra/GCR Company Vehicle Policy.
- Previous experience with CMMS system.
- Knowledge of rooms and hotel layout on GCR property, including general knowledge of Xanterra Grand Canyon Railway guest services with the ability to convey information to the guests
