Position Summary:

The K-12 School Registrar and Office Manager is responsible for managing student records, coordinating enrollment and registration processes, and overseeing the daily operations of the school office. This role requires exceptional organizational skills, attention to detail, and the ability to communicate effectively with students, families, staff, and external agencies.

Key Responsibilities:

Registrar Duties:

  • Manage and maintain accurate student records, including enrollment, attendance, transcripts, and immunizations in compliance with state and federal regulations.

  • Coordinate the student enrollment and withdrawal process, ensuring proper documentation and record-keeping.

  • Prepare and submit student data reports for state and district compliance.

  • Process and maintain cumulative student records, ensuring confidentiality and accuracy.

    • Assist with scheduling and class assignments, collaborating with administration and counseling staff.

    • Manage requests for student records, including transfers, transcripts, and verification of enrollment.

    Office Management Duties:

    • Oversee the daily operations of the front office, ensuring a welcoming and professional environment.

    • Supervise office staff, including assigning tasks and monitoring workflow.

    • Manage office supply inventory and place orders as needed.

    • Maintain school calendars, coordinate appointments, and schedule meetings.

    • Assist with the preparation and distribution of communications, including newsletters, bulletins, and announcements.

    • Support school events, such as parent-teacher conferences, open houses, and graduation ceremonies.

    Communication & Customer Service:

    • Serve as the primary point of contact for students, parents, and external organizations regarding student records and administrative matters.

    • Provide excellent customer service, responding promptly and professionally to inquiries.

    • Communicate school policies and procedures clearly and effectively.

    Data Management & Reporting:

    • Maintain accurate and up-to-date student information in the student information system (SIS).

    • Generate reports for attendance, enrollment, and academic performance as required.

    • Assist in preparing and submitting reports for audits and compliance reviews.

    Qualifications:

    • Associate’s or Bachelor’s degree preferred; high school diploma or equivalent required.

    • Minimum of 3 years of experience in an educational setting, office management, or related field.

    • Proficiency in student information systems, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace.

    • Strong organizational skills with attention to detail and accuracy.

    • Excellent verbal and written communication skills.

    • Ability to handle confidential information with discretion and professionalism.

    • Strong problem-solving abilities and ability to work independently.

    • Bilingual abilities are a plus.

    Working Conditions: 

    • Office environment within a K-12 school setting.

    • Frequent interaction with students, parents, and staff.

    • Some evening or weekend hours may be required for school events.

    Physical Requirements:

    • Ability to sit for extended periods and perform computer-based tasks.

    • Occasional lifting of up to 25 pounds (e.g., office supplies, records).
