Job Title: Facility Operations Specialist

SUMMARY
The Facility Operations Specialist ensures a building or property is safe, functional, and well-maintained, overseeing tasks like maintenance, repairs, and ensuring compliance with regulations. Reporting to the CFO, the Facility Operations Specialist ensures the functionality, comfort, safety, sustainability and efficiency of the campus environment.
RESPONSIBILITY
Facility Functions:
- Perform a daily walkthrough to inspect the premises (interior and exterior) to identify and address potential maintenance issues, ensure a safe and functional school environment and report to the CFO daily
- Establish the work order priority
- Coordinate and facilitate routine and emergency maintenance, repairs, and upkeep of buildings, equipment, and grounds
- Manage building security, building access including building keys
- Maintain school safety working with Fire Marshals and other agencies involving with, but not limited to, fire alarm, security monitoring, fire extinguishers, elevators, and exit lights
- Maintain and negotiate facility contract agreements with HVAC, roofing, fire & alarm systems, elevator, security, cleaning, landscaping, and repair vendors etc.
- Supervise vendors during maintenance services and repair
- Comply with the building codes and school safety codes including OSHA compliance, write work orders for vendors and oversee progress
- Coordinate cleaning services to ensure maintaining a safe and clean school environment
- Assist with space planning and layout to optimize the use of facilities with Principal and CFO
School Safety Functions:
- Conduct general risk assessments and identify dangerous situations in and around the school and recommend strategies to meet safety standards and prevent and/or minimize potential threats
- Attend the school safety committee meetings, training, and conferences
- Assist updating on the ICAGeorgia Disaster Recovery Plan
- Facilitate school drills with scenarios, location, duration, time and frequency
Furniture & Equipment Functions:
- Manage the flow of school furniture and equipment ensuring accuracy of records and optimizing inventory levels to meet the needs in the school
- Assist inventory management by tracking inventory in a system, performing audits, investigating inconsistencies
- Assist and coordinate IT support and work with IT support vendors
Budget and Procurement Functions:
- Develop and implement budgets and strategies with the CFO for facility-related plans, expenses, including maintenance, repairs, and utilities
- Facilitate procurement process
- Assist Georgia Procurement Registry Process
- Generate, track, and manage Purchase Orders through the numbering system
- Facilitate approval process and ensure all supporting documents and quotes in place aligning with ICAGeorgia Financial Policies
Work collaboratively with the Central Office staff and provide administrative/clerical support for the entire organization in the absence of the Administrative Assistant
Other duties as assigned by the CFO
QUALIFICATION
- BA/BS Degree in facility management, business administration, real estate, or related field or graduate degree.
- Experience with Facilities Management
- Familiar with facility and equipment management
- Critical thinking and problem solving with financial conscious
- Demonstrated organizational skills and proven ability to multitask
- Demonstrated ability to work effectively as a team of one
- Ability to communicate effectively with staff, contractors, and other stakeholders
- Demonstrated communication skills- Model correct use of language, oral and written
WORK ENVIRONMENT
Normal office environment. Occasional lifting of materials. Frequent telephone work. Ability to sit and work at a computer for long periods of time. Ability to work overtime and travel as needed. Salary Range: $47,741.40 - $86,796.90
