Fire Sprinkler Service Administrator/Coordinator
The purpose of the Service Administrator/Coordinator is to ensure efficient coordination, communication, and management of service operations. The candidate will also handle the coordination and administration of service operations, including job dispatching, material management, customer communication, and job tracking.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Maintain regular communication with field personnel throughout the day.
- Conduct afternoon check-ins to discuss the next day’s work schedule.
- Dispatch jobs using the Astea system.
- Update manpower allocation based on job requirements and availability.
- Ensure all necessary materials are in stock before scheduling work.
- Order materials as needed and verify their availability.
- Arrange for the ordering, delivery, or pickup of lifts, tools, pumps, and other equipment.
- Ensure equipment is available at the shop or delivered to the job site as required.
- Maintain regular contact with customers to provide updates and address any concerns.
- Ensure clear and timely communication regarding job status and scheduling.
- Monitor the progress of ongoing jobs and follow up on incomplete tasks.
- Ensure field personnel check in and out of jobs and that materials are properly listed, transferred, and accounted for.
- Coordinate after-hours support to distribute workload and prevent overburdening a single individual.
- Manage deliveries, packing slips, and parts inventory.
- Oversee shop-related tasks and ensure proper documentation.
- Collect and review time sheets from field personnel.
- Ensure accurate recording and submission of work hours.
- Maintain accurate records of all activities and communications.
- Generate regular reports on job status, material usage, and manpower allocation.
JOB QUALIFICATIONS:
- Fire Sprinkler service experience preferred
- NICET Certification Preferred (Fire Sprinkler Systems)
- General computer knowledge and skills
- Demonstrate working knowledge of Microsoft Office programs
- Personal organization is necessary to meet deadline-driven tasks
- Ability to verbally communicate clearly
