TITLE: VOLUNTEER ASSISTANT
REPORTS TO: Volunteer & Community Relations Manager at IFAM | Santa Fe
CLASSIFICATION: Non-Exempt (Temporary, Seasonal)
COMPENSATION: $17-$20 Hourly
JOB SUMMARY: Assists with administration of IFAM’s volunteer program including recruitment, training, management and supervision of IFAM’s volunteer corps of over 1,400 volunteers to provide supplementary workforce to IFAM activities and programs. Supports the Volunteer & Community Relations Manager at IFAM | Santa Fe as well as Volunteer Leadership Chairs.
This position is part-time from early April and becomes full-time from mid-June through mid-July. Some overtime may be required in the weeks prior to and during the International Folk Art Market Santa Fe (July 9 – 13, 2025). To be eligible for this role you mustbe available to work during the week of July 6 - 13, 2025. The position ends on or shortly after July 31, 2025.
ESSENTIAL FUNCTIONS: This position assumes responsibility for the following duties:
Recruitment Support
· Support for volunteer recruitment efforts at public and community events in Santa Fe and Albuquerque
Training Support
· Support for event planning and execution of volunteer trainings, pre-market activities, and recognition events
Data Management
· Work with Volunteer Chairs to help them obtain needed information
· Must be comfortable learning the volunteer management site Get Connected
· Manage online volunteer applications, supporting volunteers with team selection and shift assignments
· Match volunteers to appropriate roles, seeking to fulfill the needs of IFAM as well as the individual
· Maintain volunteer personnel records noting special skills and interests
Logistics
· Project management for volunteer activities, such as communicating with volunteers pre-Market
· Oversee distribution of t-shirts and badges with Volunteer Check-In Team in the weeks leading up to the Market including help with oversight, troubleshooting and general volunteer support
· Work with IFAM Volunteer and Community Relations Manager to assign Artist Assistant volunteers in accordance with team assignment procedures
· At the Market, answer volunteer questions about assignments, assist in reassignments for Artist Assistant team as necessary.
QUALIFICATIONS:
· Event, project or campaign management for a school or community activity/campaign
· Experience managing and working with volunteers and demonstrated strong interpersonal skills
· Handling complex administrative tasks and a high-level of detail, such as scheduling and data management and the ability to successfully manage multiple tasks at once
· Ability to work effectively within a team in a high-intensity environment
· Strong customer service and interpersonal skills and an ability to work with a diverse variety of individuals
· Attention to detail, highly organized
· Ability to actively listen to others and demonstrate understanding of other points of view
· Proficiency with MSOffice, Excel, and database applications
PHYSICAL and OTHER REQUIREMENTS
· Ability to sit and/or stand for sustained periods of time
· Repetitive motion – substantial movements of the wrists, hands and fingers.
· Close visual acuity to perform an activity such as preparing and analyzing data and figures, and viewing a computer terminal
· Walking – moving about on foot to accomplish tasks, particularly moving from one work site to another during markets
· Ability to occasionally lift up to 40 pounds
· Exposure to both indoor and outdoor environments
WORK ENVIRONMENT/DYNAMICS:
This position takes place in a fast-paced environment, especially during the two months prior to production of the annual market. The incumbent should be prepared to be on-call during this period and immediately following. Work assignments may change depending upon unforeseen and unpredictable developments including changes in market structure and systems, new technologies and world events. A high degree of personal flexibility is required and expected.
