We are seeking a highly organized and detail-oriented Customer Service and Operations Support to join our team. This role involves providing excellent customer service, managing data entry tasks, and processing overages, shortages, and damage orders for the accounting team to invoice or credit customers. The ideal candidate will be proactive, detail-focused, and comfortable working in a fast-paced environment while ensuring customer interactions and order processing accuracy.

Essential Duties and Responsibilities :

Customer Service :

  • Respond to customer inquiries via phone and email, providing timely and accurate information.
  • Address customer concerns and resolve issues professionally, ensuring satisfaction and maintaining positive customer relationships.
  • Accurately input customer orders and relevant information into internal systems.
  • Ensure all records are accurate, updated, and compliant with company standards.
  • Review customer orders for overages, shortages, and damages and make necessary adjustments.
  • Work closely with the accounting team to ensure proper documentation and timely issuance of customer invoices or credits based on order discrepancies.
  • Coordinate with logistics and inventory teams to verify discrepancies and ensure accurate reporting.

Operations Support :

  • Prepare and maintain reports, documents, and correspondence as needed.
  • Organize and manage files for efficient access and retrieval.
  • Work cross-functionally with sales, accounting, and logistics teams to ensure smooth operations and accurate customer orders.
  • Participate in team meetings and contribute to improving processes related to customer service and data entry.
  • Qualifications :

  • A high school diploma or equivalent (an Associate’s or Bachelor’s degree in a related field is preferred) is required.
  • Previous experience in customer service, data entry, or a similar role.
  • Basic knowledge of accounting principles or a willingness to learn.
  • Proficiency with MS Office (Excel, Word, Outlook).
  • Strong written and verbal communication skills.
  • Attention to detail and accuracy in data entry and order processing.
  • Ability to handle multiple tasks and work independently.
  • Strong organizational and problem-solving skills.
  • Physical Demands :

  • Ability to sit and work at a computer for extended periods.
  • Occasional lifting of office supplies or documents.
  • Working Hours :

  • Business hours, but some travel, nights, and weekends as needed
  • Tools and Equipment Used :

  • Business Computer, copier, fax, phone, and other standard office equipment.
