The Payroll Manager is responsible for managing all payroll processes and systems to ensure efficient and accurate delivery of the organization’s payroll. The Payroll Manager is required to maintain strong internal controls and confidentiality of private information to remain compliant with appropriate regulatory requirements.
- A working knowledge of payroll practices at a level normally acquired through completion of a bachelor’s degree in Business Administration, Accounting, Finance, Human Resources or related field or equivalent experience; and
- Seven years of experience in payroll; and,
- Five years of supervisory experience.
- Working knowledge of all federal, state, and local regulations and Sarbanes-Oxley standards.
- Must have experience with multi-state payroll, garnishments, and levies.
- Experience with collective bargaining agreements, union pay types and compliance rules.
- Requires strong organizational skills, accuracy, attention to detail, and the ability to prioritize and complete projects in a timely manner.
- Excellent written and oral communication skills.
- Must be able to act with integrity, professionalism and maintain a high level of confidentiality.
- Identifies and leverages relevant data when making decisions, providing recommendations, or analyzing organizational issues.
- Collaborates with colleagues at all levels to deliver high-quality service.
- Increases technology usage by improving processes and providing training and development opportunities for others.
- Takes action to remove obstacles and address problems before they impact performance and results.
- Effectively navigates through ambiguity, using multiple data points to analyze issues and identify trends.
- Ability to travel as needed
- Certified Payroll Professional Certification.
- Fluency in Spanish
- Experience processing payroll in California.
JOB RESPONSIBILITIES
- Ensures the payroll system is functioning properly, resolve system issues and partner with IT on system upgrades.
- Manages all payroll processes including deductions and taxes.
- Prepares all monthly, quarterly, and annual payroll tax filings, including W-2s.
- Reconciles and requests payments to third parties, including involuntary deductions such as garnishments and levies.
- Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Remains current with regulatory changes and the impact on payroll processes, preparing the payroll team for any changes.
- Prepares all union reports, deductions, and all related activities for multiple unions.
- Works with Accounting and unions to add or modify new payroll codes as needed to comply with laws and collective bargaining agreements.
- Maintains confidentiality of sensitive data.
- Manages a team of payroll specialists. Provides feedback and coaching, conducts performance reviews and additional people management activities.
- Works with Human Resources to assist in the onboarding process and payroll updates, including timely processing of new hires, terminations, and changes to pay rates.
- Performs other tasks and special projects as assigned.
- Salary range: $80,000 - $110,000 annually.
