IMN is seeking a resourceful, highly organized executive assistant to support and collaborate with agents in administration, soliciting concert opportunities, tour planning, and servicing confirmed dates for our clients. Works closely with agents and other staff to maintain team efficiency with a focus on building stronger relationships with all clients to the success of the organization.
This is a hybrid, full-time position requiring the ability to commute to Worcester, MA.
Summary of Key Responsibilities:
- Be a team player working to improve booking opportunities and make significant contributions in a busy work setting, ensuring that client needs are exceeded, and business targets are met.
- Assist agents in building and maintaining strong relationships with Artists and Promoters/Presenters with utmost professionalism.
- Intercept and handle high volume of calls, transactions and emails for agents.
- Input offers for agents.
- Manage all aspects of the contract administration process including drafting, issuing, tracking, receivables from promoters/presenters, review, posting of box office finals, and reporting for agents.
- Facilitate tour logistics, calendar management, and communications between various team members (management, production, etc.) of Artists' tours.
- Maintain Contact Databases and profiles of promoters/presenters to build stronger relationships and maximizing booking opportunities.
- Keep up-to-date on tax compliance and visa/immigration requirements
- Assist with placing holds, research and development to find potential performance opportunities, and new sales leads.
- Planning and preparation for conferences including travel and scheduling.
- Phone reception, as needed.
- Tackle additional tasks as needed in the unpredictable workflow of the music industry – as job descriptions cannot be exhaustive, the position holder may be required to undertake other duties as assigned by supervisor when necessary.
- Some travel for business meetings/conferences may be required. Local concert attendance is greatly encouraged.
Qualifications:
- Two years of general office administration experience and a college degree is required.
- Knowledge of music agency, venue, management, sales, booking or entertainment industry experience is preferred.
- Highly self-motivated: must take initiative, ownership of responsibility, and follow-through.
- Strong attention to detail is essential.
- Ability to manage multiple tasks and priorities in a fast-paced, high-pressure environment.
- Positive attitude toward flexibility is essential.
- Ability to make sound decisions efficiently and effectively using practical approaches.
- Excellent organizational, interpersonal, and communication skills (written and verbal). Comfort with phone calls.
- Outstanding time management skills.
- Creative troubleshooting and problem-solving skills.
- Ability to navigate ambiguity.
- Access to a suitable workspace with reliable internet service.
- Fluency in English required; multilingual a bonus
Technology Skills Required:
- Proficiency with PC and MS Office skills including Word, Excel, and Outlook, plus Adobe Acrobat
- Database/Calendar/Scheduling program knowledge is a plus
- Must possess the capacity and willingness to learn new information systems
