Job Summary
The Records Specialist is responsible for the integrity of the academic records as part of the Office of the Registrar and maintains student files at audit-ready status per the internal and external standards that regulate the university. The Records Specialist serves as a resource to the faculty, staff, and students of the university on matters related to student records and policies impacting students’ enrollment, progression, and completion of degree programs.

Job Summary
The Records Specialist is responsible for the integrity of the academic records as part of the Office of the Registrar and maintains student files at audit-ready status per the internal and external standards that regulate the university. The Records Specialist serves as a resource to the faculty, staff, and students of the university on matters related to student records and policies impacting students’ enrollment, progression, and completion of degree programs.
Duties And Responsibilities
- Prepares, processes, updates, compiles, and ensures confidentiality of sensitive records, information, and materials
- Maintains the integrity of academic records by understanding the information contained in various databases, changing, correcting, or modifying that information accurately and in compliance with academic regulations
- Correctly interprets relevant information, explains it to students, staff, and faculty as needed, and reviews reports to identify errors
- Response to routine and moderately complex questions and issues concerning university policies, processes, and procedures from internal and external contacts
- Supports the integrity of academic records by understanding the information contained in various databases and recommends changes, corrections, or modifications that information accurately and in compliance with Federal Educational Rights and Privacy Act (FERPA)
- Supports the functions of the Office of the Registrar by assisting with processes related to commencement, processing transcript requests, filing and purging of records, processing incoming and outgoing mail, and other clerical tasks
- Coordinates with the Admissions Department to obtain a student’s official transcript for review
- Evaluates external transcripts to determine equivalent transfer credit in accordance with Westcliff University transfer credit policies
- Obtains course descriptions and catalogs via web research and contacting other colleges and universities for the purpose of making an accurate course match
- Ensures that transfer credit are processed quickly, accurately, and completely recorded in the student information systems to support degree audit and advising
- Validates the accreditation status of transfer colleges and universities
- Reviews and evaluates credential evaluation reports for foreign coursework, military service, and education, and nontraditional coursework for the purpose of granting credit
- Coordinates back-up support as needed within the Office of the Registrar
- Contributes to the overall success of the Office of the Registrar by performing all other duties as required
Knowledge, Skills, and Abilities Required
- Knowledge of higher education registration and records maintenance procedures
- Ability to effectively communicate with students, administrators and external agencies
- Sensitivity to and acceptance of personal and cultural differences. Ability to relate well to individuals of diverse backgrounds
- Ability to multi-task and organize, prioritize, and follow multiple projects and tasks through to completion with an attention to detail
- Ability to maintain confidentiality and security of records and information
- Ability to communicate effectively, verbally and in writing with an ability to present information clearly and effectively to groups of students

- Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback
- Ability to operate office equipment such as fax machines, copiers, and phone systems, and computers for spreadsheets, word processing, database management, and other applications
- Strong written, oral, and digital communication skills
- Proficiency with Google Suite and Microsoft Office
- Flexibility with hours
- Bachelor’s degree required
- 1-2 years of clerical or customer service experience required, preferably in an academic institution
- Prior experience working with international students preferred
- Prior experience in roles directly related to FERPA compliance preferred
$23-$25/hr
