Overview
We are looking for an experienced, highly skilled Meeting Planner to support a global asset management client. Join our growing team of event planning professionals in providing top notch service to our customers.
The salary range on this job posting/advertising has been developed to give applicants a wide range to comply with pay transparency laws in all states and geographical areas. Many factors, such as years of experience, geographical location, budget etc. are considered when determining the starting rate of pay.
This role may be eligible for an incentive, commission, bonus, or a discretionary bonus program based on the company’s financial goal achievement and individual performance.
Responsibilities
- Responsible for coordinating & delivering high-quality internal meetings & events
- Responsible for managing the entire meeting planning process from planning, budget management, execution of meeting (onsite or remotely), oversee 3rd party/contract workers onsite, bill review and reconciliation; additional responsibilities could include market research, sourcing venues, site selection
- Establish relationship and lead kick-off call with internal stakeholder/client to identify their goals & key objectives, develop timelines, and establish a project plan
- Maintain detailed records and ensure all program data and budgets are accurate and up-to-date.
- Collaborate with internal stakeholder/client and planning team on weekly calls on meeting logistics, updating project plan throughout planning process.
- Prepare contracts for signature in accordance with client’s policy
- Collaborate across teams to achieve the best outcome for the meeting/event.
- Act as main point of contact for external suppliers working with key stakeholders to establish timeline for submission of content materials and other information to successfully execute a digital or hybrid event.
- Partner with audio-visual companies to produce successful meetings, from pre-planning, to technical set-up, and day of support
- Ensure event experiences are consistent with the rigorous quality standards of the client
- Collaborate with the Cvent team on web registration and app creation as needed
- Develop and maintain strong vendor relationships
- Serve as liaison between client’s business area representatives and vendors
- Reconcile & pay all event related invoices charged to Meetings Credit Card
Qualifications
- No less than 3 years of meeting planning experience
- Ability to manage multiple programs at one time – this is a high volume, fast paced company
- Detail oriented and deadline driven
- Strong business acumen and industry experience preferred
- Ability to maintain strong relationships with internal and external clients
- Creative problem-solver and team collaborator
- Strong negotiation skills
- Strong oral and written communication skills
- Ability to work concurrently on multiple tasks/projects
- High quality customer service orientation with both internal and external clients
- Ability to actively look for ways to assist others and exceed customer expectations
- Proficiency in Microsoft Office Word, Excel and PowerPoint
- Knowledge of Cvent is preferred but not required
- Domestic Travel requirement = up to 35%
