SUMMARY
The Claims Administrative Assistant works under general supervision while conducting customer service activities. These activities involve supporting the Claims Examiners and other claim related administrative matters. This position requires the ability to work closely with other service providers such as repair firms, drivers and other agents involved in specific claim activity. This position requires extensive use of the telephone and requires effective verbal communication skills.
This is a full-time position and in addition to the job functions listed below, this position may be required to participate in special projects and may involve working paid hours in excess of a normal 40 hour work week.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Give assistance and direction to requests in person, by telephone, email or by postal service.
Register and assign claims into the IMIS system. All shipment and corresponding claim activity is tracked utilizing an in-house information management system and database.
Properly document phone conversations, deliver messages and respond to voicemail within established turnaround times.
Archive documentation and information received through the proper processes and systems.
Arrange damage inspections and / or repairs with necessary follow-up to approved service vendors.
Initiate and follow up with tracing actions for missing items.
Create and mail settlement letters and claim packages. Prepare FedEx and UPS packages.
Back up the receptionist.
KPIs are tracked for most activity.
SUPERVISORY RESPONSIBILITIES . This position has no supervisory responsibilities.
QUALIFICATIONS

EDUCATION and / or EXPERIENCE
High school graduate or equivalent GED certificate; or six months experience and / or training or equivalent combination of education and experience. Must be able to type 40 words per minute, 50 words per minute is preferred. Must be proficient with computer office products such as Word and Excel.
LANGUAGE SKILLS
Must possess the ability to read and interpret documents such as client contracts, military regulations, and procedure manuals. Must possess the ability to write routine correspondence and the ability to speak effectively and clearly with customers and employees of the organization.
MATHEMATICAL SKILLS
Must possess the ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals.
REASONING ABILITY
Must possess the ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
