Interstate Powder Coatings is hiring a Parts Intake and Workflow Specialist

In this position, you will be the essential link between clients and the production team. Key Responsibilities :

Client Interaction :

Serve as the first point of contact for clients and visitors.

Greet clients warmly and assist with initial inquiries related to powder coating services, in person, by phone and email.

Gather detailed information from clients to understand their needs and requirements.

Intake Process :

Conduct comprehensive assessments, including completing intake paperwork specific to powder coating projects.

Collect and document client information such as project specifications, materials, and timelines.

Using our software, coordinate with the production team to ensure smooth workflow.

Administrative Duties :

Answer phone calls, respond to emails, and manage voicemails.

Maintain accurate and thorough documentation in electronic records or other systems.

Assist with general office tasks such as filing, data entry, and maintaining a neat work area.

Coordination and Support :

Schedule clients with appropriate professionals based on their project needs.

Provide support to other team members and assist with special projects as needed.

Ensure confidentiality and handle sensitive information with care.

Skills and Qualifications :

Communication Skills : Strong verbal and written communication skills.

Organizational Skills : Excellent time management and organizational abilities.

Interpersonal Skills : Ability to interact empathetically and professionally with clients.

Technical Skills : Proficiency in using office software and familiarity with powder coating processes is a plus.

Experience : Previous experience in a manufacturing or industrial setting is required.

Experience : Experience in the following fields is preferred but not required.

Interest in powder coating or fabrication (knowledge of metal materials)

Technological background (Microsoft, Email, and ability to learn new software)

Customer Relations

Ability to operate a forklift

Work Conditions :

Noise Level : The noise level can vary from quiet in the office to loud in the manufacturing area.

Temperature : The temperature in the manufacturing area is not always regulated, it can be hot or cold.

Safety : Adherence to safety protocols is essential, especially when entering the plant.
