Position Overview :

We are seeking a professional and personable Front Desk Receptionist with strong administrative skills to join our team. This dual-role position is responsible for creating a welcoming environment for visitors, managing front desk operations, and providing comprehensive administrative support to ensure the smooth functioning of the office. The ideal candidate is organized, proactive, and able to handle multiple tasks efficiently.

Key Responsibilities :

Front Desk Duties

  • Greet and welcome visitors, clients, and staff in a professional and friendly manner.
  • Answer and direct incoming phone calls promptly and efficiently.
  • Maintain a clean and organized reception area to reflect the company's standards.
  • Manage visitor logs, issue visitor badges, and ensure compliance with security protocols.
  • Handle incoming and outgoing mail, packages, and deliveries.

Administrative Responsibilities

  • Provide administrative support to management and other departments as needed.
  • Schedule and coordinate meetings, appointments, and conference room bookings.
  • Maintain office supplies inventory, placing orders as necessary.
  • Assist in preparing reports, presentations, and correspondence.
  • Organize and maintain electronic and physical files for the office.
  • Assist with onboarding new employees, including preparing workspaces and providing necessary documentation.
  • Handle basic bookkeeping tasks, such as processing invoices and expense tracking.
  • Qualifications and Skills :

  • Proven experience as a receptionist, front desk officer, or administrative assistant.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities with attention to detail.
  • Proficiency in office management tools and software (e.g., Microsoft Office Suite, Google Workspace).
  • Ability to handle confidential information with discretion and professionalism.
  • Knowledge of basic accounting or bookkeeping is a plus.
  • Experience with scheduling software or CRM tools is preferred.
  • Education and Experience :

  • High school diploma or equivalent required; an associate or bachelor's degree is a plus.
  • 2 years of experience in a similar role, combining front desk and administrative responsibilities.
