Essential Job Functions
Note: Punctuality and reliable job attendance are essential functions in the performance of this job. Due to the emergent nature of scheduling, real-time response for emails and calls is required during operating hours and during assigned after-hours shifts.
Clinical Case Scheduling
- Schedule oversight, including creating and updating cases for multiple regions nationwide while verifying sufficient regional coverage.
- Scheduling inbox management, ensuring all emails are resolved timely and the inbox is clear by end of shift. Reaching out to doublecheck partner as needed to ensure timely responses.
- Promptly answer incoming calls and resolve or route appropriately.
- Friendly and effective verbal/written communication with hospitals, surgeons, technicians, and fellow team members.
- “Doublecheck” audit, checking new and revised cases are accurately captured on the schedule and communicated per nuances spreadsheet.
After-Hours Call Rotation
- During designated call weeks, resolution of calls and urgent emails received outside of normal business hours. This may include emergent case scheduling, physician oversight requests, traveler assistance, etc.
General Administrative Duties
- Provide high levels of administrative support to Executive Management and other areas of the business as requested. This may include general correspondence, creating reports, preparing for office team building events, shipping for other departments, etc.
- Promote and maintain positive relationships with office staff, clinical staff, and various business partners.
- Other duties/special projects as assigned.
Auxiliary Support for Clinical Case Auditing
- Assist with faxing and follow-up (every 3 days) of pending cases needing operative reports, insurance troubleshooting, missing documentation, etc.
- As needed, assist with auditing newly completed cases to ensure required documentation attached and demographic/insurance fields accurately captured. Obtain insurance verification or document exceptions.
Auxiliary Support for Travel Coordination
- As needed, assist with travel arrangements for staff. This may include booking flights, car rentals, hotels, etc.
- As needed, assist with coordination between regional managers and staff to arrange travel support required for case coverage.
Auxiliary Support for Supply Order Fulfillment and Maintenance
- As needed, fill supply orders using in-office stock, including packaging and drop-off at the shipping vendor.
- As needed, assist with maintenance of in-office stock. This may include unpacking supplies, rotating expirables, determining supply replenishment, etc.

Physical Demands
- Prolonged periods of sitting at a desk and working on a computer.
- Manual dexterity required for keyboarding and other manual tasks.
- Must be able to lift up to 10lbs at a time.
Education and Experience
- High school diploma or equivalent required.
