The Operations Associate is the heart of the DC office, ensuring its smooth daily operation and fostering a welcoming and productive environment for our clients, guests, and team. This role requires a highly organized, proactive, and detail-oriented individual with exceptional customer service skills and the ability to juggle multiple responsibilities. The ideal candidate is a self-starter who enjoys taking ownership and thrives in a fast-paced, dynamic setting.
What you’ll do
- Open the office each morning, ensuring everything is prepared for staff arrival (coffee made, snacks stocked, office tidy and presentable).
- Manage inventory and ordering office supplies, snacks, drinks, and kitchen/pantry items.
- Coordinate and manage office maintenance and repairs, liaising with building management and vendors as needed.
- Maintain a clean and organized office environment, including common areas, kitchens, and meeting rooms.
- Manage incoming and outgoing mail and deliveries.
- Support staff with booking meeting rooms and other office resources.
- Greet and welcome staff, clients, and guests at the front desk, providing a professional and friendly first impression.
- Handle visitor management
- Support catering, room setup, and other logistical details for in-office events, including client lunches, breakfasts, and other gatherings.
- Ensure smooth event operations and provide on-site support as needed.
- Oversee intern admin assignments and provide guidance.
Who you are
- 2 years of experience in office administration or a related role, preferably in a fast-paced environment.
- Hospitality background preferred
- Exceptional organizational skills and attention to detail.
- Excellent customer service and communication skills (written and verbal).
- Ability to manage multiple tasks simultaneously and prioritize effectively.
- Strong problem-solving skills and a proactive approach.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work independently and as part of a team.
- A positive attitude and a willingness to go the extra mile.
- May occasionally involve stooping, kneeling, or crouching and lifting boxes up to 30 lbs.
The target salary range for this role is $60,000 - $62,500 USD annually. The base salary will be determined based on skills, experience, and market data.
