ESSENTIAL DUTIES AND RESPONSIBILITIES include the following but are not limited to the job specifications contained herein. Additional duties or job functions that can be performed safely may be required as deemed necessary by supervisory personnel.
Primary Job Responsibilities
- Reports directly to the Maintenance Supervisor and / or the assigned Regional Manager.
- Assists in the overall all day-to-day Operations of the IMM Maintenance Department.
- Conduct / assist with move-out inspections of assigned properties create work-orders and assign work-orders to appropriate IMM Maintenance staff and / or vendors. Tracking of the progress and reporting unit availability dates to the leasing department.
- Assists with coordinating staff and / or vendors to ensure market-ready turns of vacant apartment units to specifications as quickly as possible to meet leasing demand.
- Visually inspects buildings and grounds in the course of the daily work and reports anything in need of repair or replacement to the appropriate Resident Manager or Regional Manager. Take action to remedy any safety or health hazards.
- Duties to include leading, directing training and scheduling, all staff to include maintenance, cleaners, and painters. Works directly with the Maintenance Supervisor and assigned Regional Manager for any corrective action needs.
- Duties include operation and scheduling of all maintenance of company owned vehicles and equipment.
- Duties include the keeping of an inventory of all equipment and its location as well as keeping the IMM Maintenance shop clean and organized. Tracking and organizing the inventory of all master and unit keys held by IMM and / or IMM staff.
- Fielding phone calls and emails from residents for work orders and providing input and follow-up when needed.
- In the absence of the Maintenance Supervisor the running of the daily maintenance meeting to ensure all staff are completing work orders in the priority set forth by the Maintenance Supervisor or Regional Manager.
- Must possess verbal and written communication skills to communicate with contractors, vendors, and residents.
- Must have a good understanding of state Landlord laws and Fair Housing laws.
- Receives, organizes, and prioritizes maintenance work orders. Assign duties and examines work for completeness and cleanliness. Ensure all work orders are promptly assigned, properly coded, and timely submitted to accounting for payment.
- Develops and maintains Preventative Maintenance schedule and assigns tasks for completion by staff.
- Other duties as assigned by direct Supervisor.
- Responsible for the care, maintenance and inventory of all supplies and equipment owned by the property and/or the management company.
- Perform property inspections and document deficiencies as well as directing staff to repair or replace any items found.
- Responsible for moving out residents, conducting move-out inspections and overseeing the unit turnover process.
- Be aware of and always operate within OSHA (Occupational Safety & Health Act) standards and company safety policies.
- Responsible for thorough knowledge of management company policies and property community policies.
- Other duties as assigned.
- Accomplishing goals and objectives set by the Supervisor and keeping the property financially on track with the set budget.
- Seek and maintain qualified vendors to conduct repairs and maintenance on the property when needed.
Skills, Abilities and Knowledge Needed
- Excellent communication skills.
- Organized and manages time well.
- Excellent computer skills. Proficient in Microsoft Office (Excel, Word, and Outlook) as well as previous experience with Property Management Software.
- Ability to take direction and absorb information quickly.
- Ability to lead a team of employees.
