POSITION OVERVIEW
This position is responsible for Sales and Outreach Marketing through comprehensive sales & administrative support services. This role also includes facilitating/supporting the move-in process, ongoing communication with reservation depositors, updating CRM records, and move-in coordination and ambassador assignment for Independent Living residents as well as daily operations of the sales/marketing office.
WORKING RELATIONSHIPS
This role interfaces with those at the Community as well as future residents and their family members. Those with whom this role has contact include, but are not limited to:
- Referral sources
- Other senior living/senior care/senior services professionals
- Future residents and their family members
- Executive Director
- Community Department Managers
- All Emerson team members
PRIMARY RESPONSIBILITIES
The following duties are normal for this position. This list is not exclusive or entirely inclusive. Other duties may be required and assigned.
● Greet visitors and answer and direct telephone calls in a pleasant and professional manner.
● Facilitate scheduling of appointments and touring prospective residents.
● Utilize lead tracking software (CRM) system as needed.
● For future residents:
- Serve as a point of contact for prospects, future residents, and family members
- Schedule lease signing timeframe/appointment
- Prepare all move-in documents
- Walk residents and/or family members through the pre-move-in process
- Meet with residents and/or family members
- Answer questions related to the Community
- Ensure apartments are move-in ready prior to scheduled move-in
- Schedule and facilitate actual move-in
- Assign resident ambassadors to new residents
● Keep track of office supplies, postage, collateral, printed materials, and other supply inventory.
● Other duties as assigned by Supervisor.
● Provide support to organize, coordinate, and assist in planning of special events, including evening and weekend events.
● Administrative duties, including, but not limited to:
- Prepare and distribute reports and mailings
- Maintain files
- Create copies
- Type, collate, and distribute correspondence
- Compose letters and correspondence, including reports per management, consultant, and department’s needs
SECONDARY JOB DUTIES
1. Performs any other reasonable task assigned by the supervisor.
2. Attends sales/marketing training, continuing education training, and in-service training as required.
3. Maintains and protects the confidentiality of resident information at all times.
4. Serves on the Emergency Response Team for the Community.
JOB QUALIFICATIONS
1. Knowledge of senior living/senior care/senior services through professional and/or personal experience.
2. Experience with and proficiency in and PowerPoint, Excel, Outlook, and Word; experience with lead tracking software (CRM) preferred.
3. Strong organizational skills.
4. Able to perform job tasks efficiently and effectively.
5. Team player with a positive attitude, able to work with community associates at all levels.
6. Enjoys working with senior population.
7. Creative and critical thinker.
8. Ability to communicate effectively, verbally and in writing, with residents and family members.
9. Pays close attention to detail.
10. Is motivated and goal-oriented.
REQUIRED EXPERIENCE
● Minimum of two years’ experience in senior living, healthcare, recruiting, community relations, and/or sales and marketing.
● Minimum of some experience working with seniors.
● Undergraduate degree from four-year accredited college or university.
