Job Description:
Ion Computer is looking for a committed Administrative Assistant to provide support to our customer’s scientific group leader, their team, the operations groups, and the CFN Director’s office. Your role will be essential in ensuring the smooth and efficient execution of daily administrative tasks.
Key Responsibilities:
- Assist scientific group leader and their team with administrative tasks including domestic and foreign travel arrangements using PeopleSoft Financials and FTMS, calendar scheduling, procurement, budgeting, and other assigned activities.
- Support the Chief of Staff and operations group leaders (admin, technical ops, user office & ESH coordinator) with travel arrangements, calendar scheduling, data entry/tracking, inventory ordering, procurement, maintenance of office equipment, and other assigned activities.
- Assist with CFN event planning, including travel and calendar scheduling for invited speakers, tracking CFN facility tours and informational events, organizing coffee breaks and other events, BSA food & beverage ordering, and event calendar scheduling.
Required Skills and Experience:
- Minimum of four (4) years of experience in an administrative role with progressively more complex responsibilities. A bachelor’s degree in a business-related discipline may offset qualifying experience on a 2:1 basis (experience: college), or an associate degree with a minimum of two years related experience.
- Preferred experience with PeopleSoft Financials (e.g., TA’s, ER’s, misc payments, eBuy, pick ticket, web-requisitions, shipping memo) but not required.
- Proficiency in MS 365 - Microsoft Word, Excel, PowerPoint, Outlook. Experience with SharePoint/Teams is preferred but not required.
- Excellent communication skills, both written and verbal.
- Strong organizational skills and keen attention to detail.
- Ability to manage multiple responsibilities and prioritize to meet deadlines.
- Ability to work independently within established procedures and guidelines, and function effectively as a team member.
