Accounting Clerk II
Primary Function:
- Receive contracts and required DE/DAS forms from departments and track the process through receiving all appropriate signatures. The Department of Education has a number of forms that must be attached with contracts and agreements. Part of this position’s responsibility is to work with the submitting department to ensure the proper forms are attached and completed, send them to Des Moines Department of Education, Legal, and Accounting for review and approval. Receive them back then routing to OIAS for review and submission to the Department of Education Director for review and approval signature. Once completed, notify everyone approval has been given.
- Assist ISD/IESBVI employee’s with completion of DE and DAS forms.
- Prepare contracts with schools and other organizations as required.
- Prepare and calculate contract billing – follow up to ensure payments are received.
- Audit and process payments for employee expense reports in workday. Part of the expense payment process is to input data entry and/or review the data entry in I-Advantage. This position would assist with this.
- Process a variety of I-Advantage documents for miscellaneous operating expenses such as school supplies. office supplies, phone bills maintenance invoices. Iowa School for the Deaf and Iowa Educational Services for Blind and Visually Impaired utilize the state P-Cards, Travel Cards and Client Cards for purchases and travel. This position will assist in organizing the supporting documentation and preparing the P-Card for payment processing.
- Assist with procurement card documentation and reconciliation.
- Receive tuition reimbursement documentation, including required DE/DAS forms, and track the process through receiving all appropriate signatures.
Qualifications:
Graduation from high school or G.E.D. equivalency and two years of clerical accounting experience which involved the compilation, tabulation, examination, verification or recording of financial, statistical or related fiscal data using elementary bookkeeping principles and practices;
OR
The successful completion of a post-high school vocational/technical, business college, or area community college curriculum in accounting which included concentrated course work equivalent to twenty semester hours (or more) in accounting;
OR
an equivalent combination of education and experience, substituting one year of employment in clerical office work for each year of the required education;
OR
substituting the successful completion of thirty semester hours or the academic equivalent in a post high school Business, Accounting or closely related curriculum for each year of the required experience;
OR
any equivalent combination of qualifying education or experience;
OR
employees with current continuous experience in the state executive branch that includes the equivalent of twelve months of full-time work as an Accounting Clerk 1 shall be considered as qualifying.
