What are the responsibilities and job description for the HR Assistant & Receptionist - PART TIME position at Iowa State University Foundation Careers?
As an essential member of the human resources team, you will serve as the first point of contact for all guests to the ISU Foundation, assisting customers in an accurate, prompt, and friendly manner. You will also provide administrative support to the human resources/talent management team.
The set schedule for this part-time position is Monday – Friday, 12:30 – 5:00 pm. This is a shared position, and you will be occasionally asked, with advance notice, to cover the 8:00 am – 12:30 pm shift.
Core Responsibilities include but are not limited to:
- Serve as the ISU Foundation receptionist – greet and assist all visitors, answer telephone calls promptly and courteously, and screen/direct incoming calls.
- Monitor and disseminate or respond to inquiries in the ISU Foundation’s general email inbox.
- Sort, deliver, scan, and distribute incoming mail and packages.
- Provide point of contact for staff and vendors related to facility issues.
- Assist with organizing and preparing interview and orientation schedules.
- Assist with ordering, stocking, and inventory of office supplies and kitchen supplies as needed.
- Provide backup to cover staffing of reception and other duties as needed.
Qualifications
Minimum Experience
- 3 years of work experience related to employment area. Education may be substituted for years of work experience.
Desired Skills & Experience
- Excellent interpersonal and customer service skills.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team. Must be adaptable, flexible, and self-directed.
- Proficiency with Microsoft Office Suite and ability to learn to use new software.
- Must be able to handle several activities simultaneously with attention to detail and adherence to deadlines and accuracy.
- Must adhere to strict confidentiality standards.
