What are the responsibilities and job description for the Senior Project Management Coordinator position at Iowa State University Foundation Careers?
As senior project management coordinator on the principal and leadership gifts team, you will provide strategic, administrative, and operational support within a team environment whose primary objective is to secure and steward private support from Iowa State University’s highest level and most generous donors. This position is fast paced with a highly visible work product and has key interactions with campus administrators including the university president and provost’s offices.
Core Responsibilities include but are not limited to:
- Serve as the key liaison between the university president’s office staff and the provost’s office staff on several topics related to fundraising.
- Coordinate schedules, dates, locations, and prepare itineraries, briefing documents, and biographical information for university and foundation leadership on fundraising-related activities.
- Assist with project intake and organize tasks in project management system (Workfront).
- Schedule meetings, develop meeting agendas, coordinate meeting materials, attend meetings and capture next steps, and provide timely follow-ups.
- Coordinate data/reports on principal gift donors and related activities. Serve as data/reporting champion for the team.
- Coordinate several principal and leadership special event activities, such as football and basketball games.
- Track, monitor, and communicate budget expenditures; review planned expenditures and reconcile monthly budget reports with expenditures. Assist with the annual development of the principal gifts budget.
Qualifications
Education & Work Experience
- 7 years of professional experience or combination of relevant education and/or demonstrated work experience.

- Ability to troubleshoot complex scenarios and provide options for solutions.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Ability to work independently and as part of a team. Must be adaptable, flexible, and self-directed.
- Proficiency with Microsoft Office Suite and ability to learn to use new software.
- Must be able to handle several activities simultaneously with attention to detail and adherence to deadlines and accuracy.
- Must adhere to strict confidentiality standards.
- Position may require occasional staffing after hours.
