POSITION SUMMARY:
The Court Services Assistant plays a vital role in ensuring the smooth functioning of court programs and administrative tasks. Reporting to the Court Director, this position involves various responsibilities such as assisting the Healing to Wellness program, organizing legal documents, assisting the probation office, and maintaining accurate records. Adherence to legal procedures and regulations is essential for successful performance in this role, contributing to the overall efficiency of court proceedings.
DUTIES/RESPONSIBILITIES:
- Assist in conducting program specific policies and procedures.
- Assists with all court service programs within the office.
- Serves as aid to program needs.
- Process legal documents, including receiving, examining, filing, and distributing them appropriately within the court system.
- Review case files for readiness for hearings or trials, prepare calendars, and assist in scheduling court proceedings.
- Assist in recalling warrants, exonerating bail, and preparing judgments, dismissals, or seals case pursuant to Court orders.
- Assist the public via phone or in person, providing information on court forms, document filing procedures, jury services, and other legal matters.
- Prepare reports to the Court for proceedings and process judicial decisions, ensuring accuracy and completeness of records.
- Collaborate with attorneys, litigants, and other stakeholders, providing administrative support and facilitating communication as needed.
- Maintain confidentiality and adhere to ethical standards in handling sensitive information and legal documents.
- Other duties as assigned.

- Capability to perform a diverse range of complex and specialized support duties for the court, demonstrating meticulous attention to detail and accuracy.
- Skilled in organizing tasks, prioritizing effectively, and managing multiple responsibilities concurrently.
- Proficient in reading, understanding, applying, and retaining knowledge of departmental rules, regulations, and policies.
- Ability to communicate effectively, both orally and in writing, with individuals from diverse backgrounds.

EDUCATION & EXPERIENCE:
- Associate’s Degree in Criminal Justice, Social Work, or Public Administration, or graduate of an accredited Paralegal/legal assistant course preferred.
- Minimum of one year of professional experience in an office setting within a legal or judicial system.
PHYSICAL REQUIREMENTS:
- Ability to sit or stand for extended periods when conducting administrative tasks or assisting with court proceedings.
- Capacity to lift and carry moderate loads, such as files, documents, or office supplies, as needed.
- Mobility to move within the courthouse or office environment, including navigating stairs and accessing various areas.
- Manual dexterity and visual acuity for tasks such as typing, filing, and reviewing documents.
- Stamina to sustain focus and concentration during busy court sessions or periods of high activity.
CONDITIONS OF EMPLOYMENT:
- Successful completion of applicable tribal drug test.
- Successful completion of applicable tribal background check.
- Must pass background investigation for suitability of character identified in accordance with the Indian Child Protection and Family Violence Prevention Act.
- Possess and maintain a valid driver's license with no serious violations.
