The Admissions Specialist is responsible for reviewing, updating, and maintaining student records within the college’s student information systems. This position plays a critical role in ensuring the accuracy of admissions data, processing updates, and supporting enrollment workflows. The role requires a detail-oriented individual who excels at independent, task-focused work and communicates effectively through email. Proficiency with databases and a strong commitment to data integrity are essential to success in this position.
Job Duties
- Demonstrates Iowa Western’s core mission, vision, and values.
- Adheres to regular work hours: Monday through Friday, 8:00 AM to 4:30 PM.
- Reviews student admission records to ensure accuracy and readiness for next-step processing within Ellucian CRM Recruit and Colleague.
- Identifies and resolves data issues or inconsistencies related to student applications and enrollment records.
- Processes admission updates such as changes to start term, major/program, student type, residency, and record status based on submitted documentation or internal reports.
- Maintains accurate student data by making corrections identified through system reports and departmental workflows.
- Responds promptly to inquiries from students, faculty, and staff—primarily via email—with professionalism and attention to detail.
- Manages the Admissions Updates email inbox to ensure timely follow-up and issue resolution.
- Performs digital record maintenance, including updates to contact information and management of duplicate records.
- Works independently and efficiently in a task-driven environment, exercising sound judgment and maintaining confidentiality.
- Performs other duties as assigned.
Qualifications
- Associate’s degree required.
- Strong organizational skills with the ability to manage time, meet deadlines, and produce accurate work.
- Attention to detail and the ability to follow complex processes with minimal oversight.
- Proficiency with Microsoft Office products, especially Outlook, Word, and Excel.
- Experience using databases or information systems for data entry and record maintenance.
- Clear and professional written and verbal communication, especially through email.
- Ability to work independently while maintaining confidentiality and professionalism.
- Familiarity with imaging software is a plus.
- Ability to pass a background check, have a good driving record.
