We are seeking individuals that are passionate about helping those that struggle with mental illness, substance misuse, homelessness, and forensically involved clientele. We are currently seeking an Office Coordinator to join our Communications team to work in our Downtown Dallas office.
Position Overview:
As an Office Coordinator at IPS Recovery, you will play a pivotal role in the seamless operation of our office. You will be responsible for managing essential administrative functions, including handling sensitive medical information in compliance with HIPAA regulations, coordinating communication with our partners, and overseeing data management and appointment scheduling. Your role will require a thorough understanding of our services and treatment options to effectively support our partners and ensure the delivery of exceptional care.
Key Responsibilities:
Communication Management:
- Handle and prioritize email and phone communications with IPS Recovery's partners.
- Ensure timely and professional responses to inquiries, requests, and follow-ups.
- Serve as the primary point of contact for our partners, addressing their inquiries and providing timely responses to their needs.
- Utilize your knowledge of our services and treatment options to offer accurate information and guidance to partners, ensuring they are well-informed and supported.
Data Management:
- Run and upload data reports accurately and on time.
- Maintain and update databases with relevant information.
Appointment Scheduling:
- Schedule and manage appointments for partners, ensuring proper coordination and preparation.
- Maintain an organized calendar to avoid scheduling conflicts and optimize time management.
Qualifications:
Experience:
- Proven experience in an administrative or medical office coordination role.
- Strong background in handling email and phone communications professionally.
- Experience with data reporting and management is preferred.
- Demonstrated knowledge of HIPAA regulations and experience handling sensitive information in compliance with HIPAA.
Skills:
- Excellent organizational and multitasking skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Strong written and verbal communication skills.
- Ability to handle sensitive information with discretion and confidentiality.
