Front Desk Receptionist / Medical Assistant

Our work contributes to developing new treatments for mental health and neurological conditions. As we expand, we seek a Front Desk Receptionist to be the first point of contact for our site, ensuring a smooth and professional experience for patients and research participants.
Primary Responsibilities:
The Front Desk Receptionist / Medical Assistant is responsible for handling patient interactions, managing schedules, maintaining inventory, and facilitating smooth operations between our two clinical trial locations.
Key Responsibilities:
- Patient & Visitor Interaction: Greet patients and visitors professionally, whether in person or by phone; answer inquiries and direct calls as needed.
- Scheduling & Coordination: Assist with scheduling research participants for study visits, coordinating appointments efficiently.
- Patient Registration & Check-In: Ensure all patient paperwork and consent forms are completed accurately and entered into the electronic system.
- Communication & Study Support: Act as a liaison between patients, research staff, and clinical teams, providing necessary follow-up and study reminders.
- Supply & Inventory Management: Maintain office and study supply inventory; order materials as needed.
- Confidentiality & Compliance: Maintain patient confidentiality per HIPAA and adhere to research protocols and regulatory requirements.
- Administrative & Operational Support: Assist with organizing documents, data entry, and facilitating the smooth operation of clinical trials.
- Inter-Site Coordination: Support communication and coordination between our two site locations to ensure seamless operations.
Skills & Qualifications:
- Experience in a front desk, receptionist, or administrative role (clinical research or medical office experience preferred).
- Strong organizational and multitasking skills with high attention to detail.
- Professional verbal and written communication skills.
- Proficiency in Microsoft Office and electronic medical record (EMR) systems (MacPractice or similar preferred).
- Ability to maintain professionalism, confidentiality, and compliance in a research setting.
- Willingness to learn and adapt to the dynamic field of clinical trials.
- Ability to work independently and manage responsibilities with minimal supervision.

Schedule:
- Monday – Friday, 8:30 AM – 4:30 PM (with flexibility based on study needs).
