Program Summary

Currently, IRCO processes approximately 1,200 invoices per month. The Accounts Payable Specialist is a vital member of the Accounts Payable team who ensures the organization meets the increasing demand of payments. Examples of payable type are employee reimbursements, client assistance and agency overhead.

Position Summary

The Accounts Payable Specialist utilizes a ticketing system and will adhere to the organization's grant-based coding system. Occasionally, they will research and reconcile a specific vendor account.

The successful Accounts Payable Specialist will be detail-oriented, communicative, highly interculturally competent and enjoy contributing to a healthy workplace culture for all employees in support of IRCO's mission.

Essential Functions

  • Process accounts payable timely and accurately- ensuring expenses are posted in proper period and to the proper account
  • Act as a key liaison between accounting and program staff to answer questions and troubleshoot issues
  • Reconcile accounts payable schedules
  • Assist with month-end and year-end processes such as accruals and 1099's
  • Process checks as needed
  • Work with vendors and respond to miscellaneous inquiries as needed
  • Document current processes and recommend improvements
  • Other tasks within fiscal team the employee may ask to perform as needed

  • This position works under the guidance of the Lead Accounts Payable
  • This position does not supervise any employees. It will however be asked on occasion to train, orient, and direct the work of new employees of IRCO
  • Requirements

    Education & Experience

    MINIMUM JOB SPECIFIC QUALIFICATIONS :

  • Associates or equivalent degree in Accounting, Business or similar combination of education and experience
  • Two years' experience in accounts payable, preferably in a nonprofit organization
  • Knowledge of the principles and practices of GAAP accounting
  • Excellent organizational and time management skills
  • Must be proficient in the English language
  • Oral and written communication skills commensurate with the needs of the position
  • Experience / proficient in MIP, Microsoft Office, Microsoft Excel, and a variety of software packages
  • Intercultural competence; demonstrated skill in understanding cultural differences
  • Experience using standard office equipment and 10-key calculator
  • Successful experience in accounting, with integrated computerized accounting systems
  • Experience and knowledge of State and Federal regulations and related laws
  • PREFERRED QUALIFICATIONS :

  • Experience in Accounting and / or Accounts Payable experience
  • Knowledge of the principles and practices of fund accounting
  • Knowledge of general ledger accounting
  • Knowledge of automated accounting systems and computer processes and capabilities to assemble, review, and maintain complex accounting, budget, or fiscal transactions
  • Strong computer skills including proficiency in the use of financial software (MIP preferred), Excel and related software applications
  • Strong communication skills in a multilingual, multicultural organization
  • Strong ability to work with multi-cultural staff in a team setting
  • Ability to analyze and prepare complex and detailed financial records
  • Ability to reconcile and reconstruct incomplete accounting information and conduct extensive searches for required information
  • Ability to use nonstandard procedures and techniques to resolve unusual problems or address management requirements
  • Ability to use initiative and judgment in completing tasks and responsibilities
  • Ability to courteously meet and deal effectively with other employees, agency representatives, vendors, contractors, the public, and others
  • Ability to function in a positive manner in a demanding work environment, to demonstrate a high degree of flexibility, to respond to priorities and schedules that change frequently, and to meet commitments
