Salary : $24 to $25 per hour
The Administrative Assistant isresponsible for overseeing the IRG Corporate Office, including, but not limited to, answering the phones, opening and disseminating incoming mail, gathering and sending outgoing mail and overnight deliveries, managing office supplies, and overall office organization. This role will also work with all departments on special and ongoing projects. Additionally, you are expected to work with and communicate with allIRG team members to ensure proper coordination of these activities and projects.
Essential Functions :
- Manage, coordinate, and prepare communications and liaise with nationwide offices.
- Maintain open and direct contact with the CFO and executive management team.
- Plan and coordinate meetings and events (logistics, prepare meeting materials / documents).
- Prepare and distribute presentations, reports, proposals, spreadsheets, correspondence, and other documents.
- Maintain detailed real estate documents requiring high levels of accuracy.
- Download and save monthly AP reports from MRI (Accounting Software).
- Assist with creating deliverables for lenders and investors, including drafting letters / documents and collecting and analyzing information.
- Assist with deposits and payables.
- Assist with entering time for the legal team.
- Manage the front desk and answer calls.
- Process incoming mail from USPS, FedEx, and UPS
- Schedule Messenger service
- Order office supplies and snacks and make sure the kitchen is clean and restored at the end of each day.
Performing and completing ad hoc requests / projects as needed
Qualifications :
Highly motivated and organized
Exceptional written and verbal communication skills, including effective interpersonal and collaboration skills.
Attention to detail and accuracy.
Proficient in MS Word, Outlook, Excel and PowerPoint.
Ability to multi-task.
Open to change and willing to learn new skills.
Ability to follow up on pending issues.
Ability to meet deadlines.
