Job Summary:
As a Portfolio Compliance Coordinator, you will report to the Portfolio Compliance Coordinator Supervisor and play a vital role in ensuring the compliance, accuracy, and operational integrity of a growing portfolio of commercial real estate assets. This position supports the day-to-day execution of policies and procedures that safeguard our assets and drive performance, focusing on documentation accuracy, regulatory compliance, and cross-functional coordination.
You’ll oversee key compliance processes, including the New Property Checklist, New Tenant Checklist, Lease Abstraction, Aged Delinquencies, Tenant Closeout, and Certificate of Insurance (COI) documentation. You will also manage the preparation and auditing of service contracts and vendor COIs, ensuring all data and documentation meet company standards.
In this role, you will act as a liaison between the Senior Portfolio Manager (SPM), Property Managers (PMs), and Property Accountants to ensure consistency and compliance across all property-level operations, including capital projects, budgeting, and internal workflow approvals.
Key Responsibilities:
- Partner with the SPM to ensure all PMs within the portfolio maintain strict adherence to compliance standards and operational accuracy.
- Proactively identify compliance risks or inefficiencies and drive solutions that support operational improvement.
- Prepare, review, and maintain all service agreements and vendor COI documentation in accordance with insurance and risk management standards.
- Support Lease Administrators by gathering and organizing lease-related documentation, focusing on lease requirements.
- Distribute and track new tenant welcome materials, including team introductions, tenant improvement contacts, and onboarding documentation.
- Coordinate the tenant close-out process, ensuring accurate execution and complete documentation.
- Monitor ongoing projects and manage task completion related to litigation, tax appeals, capex workflows, and more.
- Collaborate with PMs, Lease Administrators, and AR to investigate and resolve billing discrepancies.
- Partner with PMs and Property Accountants to verify and approve annual reconciliations and operating expense true-ups.
- Maintain shared document drives, ensuring all digital files align with internal filing standards (New Document Filing Cross Reference).
- Take on special projects and additional assignments from the SPM as needed.
- Provide mentorship and support to junior team members to enhance team performance and ensure consistent execution of responsibilities.
Skills & Qualifications:
- 5–7 years of experience in commercial real estate, with a strong preference for asset or property management experience.
- Deep understanding of operational and compliance processes unique to commercial real estate.
- Advanced proficiency in Microsoft Office Suite, particularly Word, Outlook, and Excel.
- Proven ability to work in a fast-paced, detail-oriented, and deadline-driven environment.
- Excellent multitasking, prioritization, and organizational skills.
- Strong interpersonal, analytical, and written communication skills.
- Experience with MRI or similar property management software is a plus.
