Iris Memory Care in the DFW area is looking to add an Assistant Director of Community Relations to our team. This position is designed for a junior sales/marketing professional to learn and grow under the leadership of our Senior Sales Specialist serving both Iris Memory Care of Turtle Creek and Iris Memory Care of Rowlett.
This is a full-time benefits eligible position with a base salary starting at $55,000, with additional bonus package. Salary is open for negotiation commensurate on education and experience.
Specific Responsibilities:
Under the direction of the Sales Support Specialist and Regional Director of Sales and Marketing, meets with prospective Residents, and their families, both in their homes or other scheduled meeting sites, including in the respective IRIS to present IRIS services and the IRIS property to the prospective Residents. Also provides sales activities and results necessary to achieve and exceed the IRIS’s sales and move-in goals to continuously maximize occupancy. In collaboration with Sales Support Specialist and Regional Director of Sales and Marketing, conducts marketing outreach into the local communities served. Serves as administrative support to the Sales Support Specialist as detailed below
Primary Essential Job Duties:

This position will start as primarily administrative support for the Sales Support Specialist, but will grow into working through the inside and outside sales process independently.

Supports efforts to increase occupancy, meet budgeted occupancy and revenue, and maintain a waiting list for available suites.

Achieves IRIS sales objectives and move-in goals as identified by the Executive Director and IRIS ownership and/or management (“IRIS Team”).

Schedules sales appointments, both inside and away from IRIS, and structures their work schedule to maximize their own efficiency, while also providing timely responses to prospective Residents, including evening or weekend calls, emails, etc. and/or traveling for visits to prospective Resident’s or family's residences.

Responds to requests for information and brochures in a timely manner

Identifies and anticipates prospective Resident’s needs, eliciting ideas, and feelings but not limited to perceptions from others. Probes to identify the needs and goals of prospective Residents, including home visitations to better understand prospective Resident’s personal needs to ensure such needs can be met.

Interacts with other IRIS Team Members by developing rapport, demonstrating interpersonal sensitivity toward others.

Continuously maintains regular contact with prospective Residents and their family both by telephone and email contacts and home visitations, validating their interest and moving them toward a decision to utilize our services. Records in an up-to-date manner all appropriate prospective Residents information in the designated software program. May assist Sales Support Specialist with data entry of leads as appropriate.

Request and maintain appropriate inventory of general office items (pens, paper, etc.)

Manage and re-order all marketing materials ie: brochures, educational pamphlets, and collateral for outside marketing.

Process and record Accounts Payable for marketing memberships and special events.

Responsible for creating and distributing communications (memos, emails, social media posts, etc.) for internal staff, families and residents in regards to special events, new move-ins or changes to support groups.

Ensure all new resident admission packet is fully executed and distributed to the appropriate departments or files.

Assist with obtaining PPOC, POA's, Insurance information and all medical documentation needed for the move in process.

Pre-qualifies prospective Residents in conjunction with the Sales Support Specialist, Executive Director, Wellness Director, and/or IRIS Home Office.

Recommends solutions that match prospective Residents’ needs, overcoming objections by demonstrating benefits to prospective Residents, and negotiating a mutually beneficial outcome.

Closes sales with prospective Residents and receives reservation checks.

Ensures a smooth transition for the Residents from the sales process through the move-in process. Work with other IRIS Team Members to ensure new Residents are oriented to the IRIS Team Members and to the IRIS services and programs.

Explicitly and directly asks Residents or their Resident Representatives for referrals to friends and family members whom they believe may also have an interest in our services.

Establishes a work schedule that is most responsive to the prospective Residents in the IRIS’ market. This will most likely include regularly working some evenings and weekends.

Ensures compliance with all rules and regulations related to Resident care (i.e. Confidentiality/HIPAA, State Regulations, local health department requirements, OSHA, etc.).

Maintains a professional demeanor with all Residents, families and friends, professional referrals, and the general public in representing the IRIS.

Attends in-service training as required.

Reports all suspicions of abuse, neglect, and/or financial exploitations of a Resident immediately to the supervisor, as described in the IRIS policy and procedures on reporting.

Maintains and protects the confidentiality of resident information at all times.
Qualifications

High school diploma required. College credits or degree preferred or satisfy state experience requirements as applicable.

Familiarity with PC-based software applications for capturing sales data and word processing is a part of required job performance. Additional experience with any or all of the following is a plus: Presentation software such as Freelance or PowerPoint, spreadsheet software such as Lotus or Excel, email, and Internet functions.

Availability to work evenings, weekends, and holidays as necessary. Ability to work flexible hours to meet requirements of the job.

Ability to communicate and work with all levels of IRIS Team Members and IRIS Department Managers effectively.

Ability to relate to the public, Residents, families, staff, other professionals appropriately.

Ability to lift up to 50 pounds occasionally; 35 pounds regularly.

Routinely requires pushing, pulling, bending, walking, reaching, and stooping.

Maintains car in good working order, current driver’s license in good standing, and auto insurance meeting company minimums is current.

Ability to maintain accurate records and provides information as requested/required.

Demonstrates the ability to organize their time, follow-up, qualify, and track a large number of leads for prospective Residents; the ability to perform job tasks efficiently and effectively.

Demonstrates as a team player with a positive attitude; able to work with IRIS Team Members and IRIS ownership/management staff.

Ability to effectively communicate, verbally and in writing, with prospective Residents, influencers, Residents, families, and the general public.
