Irish Creek is looking for a highly organized, detail oriented and motivated team player to fill our full-time Construction Administrative Assistant Position.
Preferred Qualifications:
· Proficient with Microsoft Office 365
· Familiar with Deltek ComputerEase Accounting Software.
Job Description:
This position will be assisting our Project Management and Estimating Team in estimating & managing commercial, industrial and residential General Construction projects of varying size and scope in PA, NJ, OH and DE. Job responsibilities may include, but are not limited to:
· Compose detailed and thorough Project Proposals & Presentations, including project descriptions for Clients. Present to PM for review.
· Compose, complete, send and track subcontracts, change orders, RFI’s, RFP’s, and other project documentation.
· Compose and send out bid invitations.
· Follow up with bidding subcontractors.
· Prepare project invoices (AIA format).
· Prepare AIA contracts.
· Prepare and complete Change Orders.
· Prepare and assemble Field Project Binders.
· Prepare and Assemble Project Closeout Documentation.
· Assist Project Management with Scheduling (update Microsoft Project)
· Complete project documentation such as submittals, change orders, RFI’s etc.
· Assist PM’s in project research as needed.
Possible Office Task Description: (if PM’s tasks are complete)
· Process Weekly Employee Payroll
· Assist with Tracking of Project Management Documentation.
· Answering Office Phone, taking messages as needed.
· Project Filing, current and completed.
· Assist in maintaining internal documents and forms.
· Assist with Accounts Payable, subcontractor lien waivers.

Requirements:
· High attention to detail.
· Positive Attitude and Open Mind for completing tasks and projects more efficiently.
· Work weeks may consist of an average of 40 hours per week. Additional work time may be needed from time to time.
· Elevated level of organizational skills.
· Fluent in Microsoft Office, including Excel, Word, Teams, Share Point, Project and Outlook.
· Adaptability.
