1.0 Introduction
The purpose of this job is to establish and define the functional role, requirements, reporting relationships, authority, duties and responsibilities, and measurements of performance of the Accounting Assistant II.
2.0 Functional Role
The primary function of the Accounting Assistant is to assist the accounting department with either Accounts Receivable (AR) or Accounts Payable (AP). The Accounting assistant will coordinate with the Portfolio Supervisor, Portfolio Manager, and Company Owner(s) to complete billing and payables in a timely and accurate manner. They will communicate with all co-workers, vendors, and customers regarding accounting issues.
3.0 Requirements
3.1 Education
Required: minimum of one (1) years experience working in accounting and/or
bookkeeping.
Preferred: Additional related coursework, preferably in business administration, property management and/or budgeting.
3.2 Experience
Required:
- Minimum of one (1) year experience working in accounting / bookkeeping
3.3 Skills, Knowledge & Abilities
Skilled in all aspects of accounts payables and accounts receivable. Organizational and interpersonal communication skills. Computer skills with experience in Microsoft Office, Google Documents, and various accounting programs. General understanding of basic home maintenance would be helpful. Ability to compose business documents with proper grammar, punctuation, and spelling skills. Attention to detail as well as time management skills. Written and verbal communication is a must in a team environment.
3.4 Mental
Ability to sustain sharpness and professional bearing and to foster a positive business image. Ability to problem solve and make decisions. Normal ability to concentrate. Normal memory, taking into consideration the amount and type of information.
3.5 Physical
Normal physical mobility, which includes movement from place to place. Normal physical agility, which includes the ability to maneuver the body. Able to lift and move up to 35 lbs. Normal dexterity of hands and fingers. Normal coordination, including eye-hand-foot. Sufficiently corrected vision for reading written documentation and driving a vehicle. Must be able to hear adequately with correction. Must be able to ascend/descend staircases.
3.6 Working Conditions
Work occurs primarily in an office environment. Requires individuals to drive their own vehicle for business matters (mileage reimbursement).
4.0 Reporting Relationships
Accounting Assistant reports to the Accountant 1.
In Accountant 1 absent, Accounting Assistant will report to the Company President.
5.0 Authority
5.1 The Accounting Assistant has the authority to make accounting decisions regarding utility and vendor bills completed by Cobalt Real Estate Management, subject to the limitations issues by the Portfolio Manager, Company Owner, the company’s policies, and general good management processes.
5.2 Work with Property Owners, Residents, Vendors, and Co-workers regarding rental properties, as a representative of the company.
5.3 Network with community members and businesses as a representative of the company.
6.0 Duties and Responsibilities
6.1 Assist with AR or AP in its entirety while utilizing the appropriate spreadsheets and accounting softwares.
6.2 Weekly audit the checks and balances spreadsheet to see there are no deficiencies or outstanding balances.
6.4 Oversee Utilities, payment to utility companies and charging customers for used of utilities.
6.5 Receipt rent income and other incomes paid to company
6.6 Track Security Deposits and/or Pet Deposits
6.7 Oversee Certificate of Insurances for vendors
6.8 Over see rentable items that are rented to customers.
6.9 Charge customers for fees that are due to the company.
7.0 Measures of Performance
7.1 There were no significant errors in Accounting procedures.
7.2 Adherence to company Core Values.
7.3 There were no warranted complaints against the Accounting Assistant because of rudeness, poor customer service, discrimination, inefficiency or failure to follow local, state and federal laws.
Job Type: Full-time
Pay: $16.00 - $18.00 per hour
