Position: Parts and Service Coordinator
The Ironpeddlers, a leading heavy equipment dealership, is seeking a dynamic and detail-oriented individual to join our team as a Parts and Service Coordinator. This crucial role involves researching, ordering, selling parts, as well as managing work orders and warranty claims. As a Parts and Service Coordinator, you will be responsible for ensuring efficient operations within our parts and service department for the new branch launch in Wilmington, NC area.
Responsibilities:
- Parts Management:
- Research, identify, and source parts required for heavy equipment repairs and maintenance.
- Collaborate with vendors and suppliers to obtain competitive pricing and negotiate favorable terms.
- Maintain an organized inventory of parts, ensuring accuracy in stock levels and categorization.
- Monitor and manage parts requests from technicians, ensuring timely fulfillment of orders.
- Coordinate with the purchasing department to replenish stock and identify cost-saving opportunities.
- Assist customers in identifying the correct parts for their equipment needs, providing exceptional customer service.
- Sales and Customer Service:
- Proactively engage with customers to understand their parts and service requirements.
- Provide accurate and detailed information on available parts, pricing, and lead times.
- Promote additional parts and services to customers, increasing sales and enhancing customer satisfaction.
- Handle customer inquiries, complaints, and returns, resolving issues in a professional and timely manner.
- Establish and maintain strong relationships with customers, fostering repeat business and loyalty.
- Work Order Management:
- Open and close work orders for shop and field technicians, ensuring accuracy and completeness.
- Assign work orders to appropriate technicians based on their expertise and availability.
- Track the progress of work orders, ensuring tasks are completed within specified timeframes.
- Communicate with technicians and customers regarding work order status, updates, and any additional requirements.
- Maintain a comprehensive database of work orders, service history, and customer interactions.
- Warranty Claims:
- Process warranty claims for equipment repairs, adhering to manufacturer guidelines and documentation requirements.
- Accurately enter warranty claim information into the system, ensuring timely submission.
- Collaborate with manufacturers and suppliers to resolve any warranty-related issues or disputes.
- Keep up-to-date with warranty policies and procedures, staying informed about changes and updates.
Requirements:
- High school diploma or equivalent; relevant certification or associate degree preferred.
- Previous experience in parts management, sales, or customer service within the heavy equipment industry.
- Strong knowledge of heavy equipment parts and their applications.
- Excellent organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Exceptional attention to detail and accuracy in order processing and record-keeping.
- Proficiency in using computer systems and software for inventory management, work orders, and warranty claims.
- Strong communication and interpersonal skills to interact effectively with customers, vendors, and internal teams.
- Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
