The Front Desk Receptionist serves as a key member of the Care Team, acting as the first point of contact for patients and creating a welcoming and supportive environment. This position is responsible for handling a high volume of incoming calls and patient interactions. The ideal candidate excels in customer service, communicates with warmth and professionalism, and is skilled at turning challenging interactions into positive experiences. Key Responsibilities:
· Patient Interaction & Customer Service: Greet all patients with a warm smile, ensuring a professional and friendly demeanor during every interaction. Provide exceptional customer service, addressing patient concerns or complaints with empathy and professionalism to enhance their experience.
· Phone Management: Answer incoming calls promptly and professionally, making every caller feel valued. Accurately and efficiently route calls to the appropriate team member or department.
· Patient Check-In & Check-Out: Welcome patients upon arrival and guide them through the check-in process, ensuring all necessary information and documentation is collected, such as scanning and adding insurance cards, driver’s licenses, and other required forms. Serve as the point of contact during patient check-out, ensuring all necessary follow-up appointments are scheduled. Convey referral information as needed and verify the completion of all paperwork and payments.
· Outgoing Calls & Appointment Management: Manage all outgoing calls for assigned providers, including appointment confirmations and rescheduling as necessary. Contact new patients to welcome them and provide relevant information about their first visit.
· Preventive Care Outreach: Support the clinic’s efforts to promote preventive care by preparing and sending reminders for annual exams and well-child visits for assigned providers. Each front desk coordinator will be assigned a specific provider and will be responsible for reviewing that provider’s schedule to ensure accuracy and identify opportunities for outreach, along with preparing and sending reminders as outlined above.

Qualifications:
- High school diploma or equivalent required; additional education or certifications in healthcare administration is a plus.
- Prior experience in a call center, customer service, or healthcare setting is preferred.
- Excellent verbal and written communication skills.
- Proficient with technology, including phone systems, live chat platforms, and EHR software.
- Strong organizational skills and attention to detail.
- Ability to handle challenging situations with empathy and professionalism.
